    Job Description

GLOBAL INVESTMENT LEGAL SERVICES ADMINISTRATIVE ASSISTANT, MIT Investment Management Company (MITIMCo) (https://mitimco.org/discover/) , to directly support four to five Global Investment Staff (GIS) legal team members and work closely and collaboratively with other MITIMCo teams in providing MITIMCO with first-class investment legal services. Responsibilities include managing assigned items in group inbox and documents in research management system; supporting initiatives/projects/documentation; maintaining document management system; acting as project manager on ad hoc projects; managing and communicating project deadlines; updating team project tracking chart and maintaining team reporting metrics; assisting legal analyst in responding to anti-money laundering/know your customer (AML/KYC) requests and reviewing and providing edits to subscription and other documents; taking notes at and managing meeting agendas; providing annual good standing maintenance and updates to officer’s certificates and standard tax forms; processing team expense receipts/reimbursements; assisting with registration/payment for professional organizations and continuing education courses; arranging travel; scheduling appointments/meetings and relevant logistics; notarizing and gathering apostille certificates for documents; and providing general back-up support as needed. Job Requirements

REQUIRED: high school diploma or its equivalent; five years’ administrative or related experience; public notary certification (at hire or shortly thereafter); excellent oral and written communication skills; meticulous attention to detail; ability work independently with minimal supervision and on a team, prioritize and juggle multiple activities simultaneously, and work under pressure of tight deadlines and frequent interruptions; high-level computer skills, including Outlook email and calendaring and Microsoft Office proficiency; diplomacy; initiative; history of adding efficiencies and process improvements to the work environment; and good judgment and discretion with confidential information/issues. PREFERRED: experience or interest in Co-Pilot or other AI tools and experience with DocuSign.
