Job Summary:

TWD is currently looking for a Document Controller Systems Administrator. This is a Long Term Contract position based in Calgary, AB area. Your role will be to support the Document Control Lead with project deliverables management and the Western Canada Secondment Lead with Secondment program management.

Responsibilities would include (but not limited to): 

Document Control:

Manage TNPI’s Document Control activities and inbox

o   Identify opportunities for improvement related to document control activities

o   Process New document number requests

o   Process Drawing Modification requests

o   Manage / track modification and concurrent engineering requests throughout lifecycle

o   Propose recommendations for streamlining processes through Aconex

o   User creation / access management requests

o   Receive / QC / upload documents & drawings

o   Aconex Admin post go-live

o   Manage company-wide interfaces related to document control: Owner team, Contractors, Suppliers, and other Project Leads.

o   Prepare and deliver training material/supporting documentation for user onboarding to assist in system implementation.

o   Maintain KPI reporting, overdue reporting, retention schedule reports, assessment of contractors and determine gaps/recommendations.

o   Coordinate Information Technology (IT) issues associated with document management systems and related IT databases & tools

o   Ensure Master Document List (MDL) and Document Distribution Matrix (DDM) requirements are implemented and maintained

o   Effectively communicate company Information Management & Governance standards as required.

 

Aconex configuration support:

o   Modification of data model, field names, picklists etc.

o   Configuration of Aconex workflows and mails

o   New user creation and user access management

o   Support to set-up modification / concurrent engineering process

Other duties as assigned.

Requirements and Qualifications:

Organized Multi-tasker: The resource should demonstrate the ability to efficiently handle multiple tasks concurrently.

o   Coordination Skills: Proficiency in coordinating activities and resources to ensure seamless workflow.

o   Communication Skills: Strong communication skills to effectively convey information and collaborate with stakeholders.

o   Documentation Proficiency: Adept at documenting processes, procedures, and project-related information.

o   Independent Work: Capability to work autonomously, requiring minimal supervision.

o   Senior/Lead Experience: Previous experience in a lead role, specifically in project environments.

o   Proficient in all O365 apps
