Aston Carter Administrative Assistant in Calgary, Alberta

Description:

As an Administrative Coordinator you will be responsible for processing and verifying shipping documents, customer service, scheduling appointments and other clerical / administrative duties. Attention to detail will be key for this position.

To be successful in this role, you will exceptionally complete the following (not an exhaustive list of responsibilities):

• Making telephone calls and sending emails to centralized customer service

• Booking delivery appointments via phone and email.

• Billing of accessorial/additional fees as required.

• Maintaining group email boxes and answering queue calls when required.

• Receiving calls from drivers who are not delivering freight for specific reasons, logging and noting comments in pros.

• Scanning, photocopying and faxing.

• Other administrative duties as required (which could include pulling reports).

• Auditing shipping documents for accuracy, correcting and reporting to supervisor as needed.

• Understanding Federal Transportation Compliance documentation and reacting to and reporting non-compliance.

Additional Skills & Qualifications:

• Minimum of secondary education, with preference of post-secondary education (completed or currently enrolled), or a combination of education and experience

• Previous Transportation or operational experience is preferred, various roles within transportation and customer service is beneficial

• Experience with AS400 is not required but is considered an asset

• Experience with Microsoft Office Products

• Advanced communication skills

• Able to work deadlines in high transactional, fast paced environment

• Ability to work in a team environment

• Able to work with little supervision
