Job Description:

TheClerk Advancedposition serves as a Customer Service / Clerical Support person for the Burlington, IA HHS office. This position conveys information about all programs administered by the Iowa Department of Health and Human Services and provides responses to customer inquiries in a professional and courteous manner. The service duties may include, but are not limited to, answering the main switchboard phone, directing calls to the appropriate person, and scheduling appointments as needed.

  • This position will carry out customer service functions such as direct customers and/or visitors to appointments, meetings and training sessions, answer general concerns or questions of customers.

  • Provide necessary forms or applications to customers and identifies the documentation needed by the customers to bring to an interview or submit with their application and assist in the completion of applications.

  • Mail processing includes opening, state stamping, and distributing mail accurately and timely.

  • This position assists the scanning and indexing unit.

  • File management duties to include filing, purging, splitting case records, and uploading documents into electronic files.

  • This position is responsible for inventory and acquisition of office supplies and forms.

  • This position requires careful attention to detail.

  • This position provides surrogate PC support for the ITS and coordinates equipment maintenance.

The qualifications include but are not limited to the ability to use a personal computer to find needed information, type correspondence, notices, reports and forms, compile and monitor data, tracks time frames for due dates, copy and/or scan various documents, and utilize various office equipment.

Minimum Qualification Requirements

Applicants must meet at least one of the following minimum requirements to qualify for positions in this job classification:

  • Experience equal to one year of full-time clerical office or closely related work.

  • A total of one year of education and/or experience (as described in number one), where one month of accredited post-high school course work in a secretarial, business, or closely related program equals one month of full-time experience.

  • A total of one year of education and/or experience (as described in number one), where 30 semester hours of accredited college or university course work in any field equals one year of full-time experience.

  • A total of one year of education and/or experience (as described in numbers one through three), where certification from the state of Iowa Administrative Assistant Certificate Program equals six months of full-time experience.

  • Current, continuous experience in the state executive branch that includes the equivalent of six months of full-time work as a Clerk.
