PETROL , a leading full-service advertising agency specializing in progressive marketing for some of the biggest brands in tech, sports, and video gaming—among many more—is seeking an Accounts Payable Associate . With dedicated departments for print services, motion graphics, AV, social media, interactive/digital, as well as media planning & buying, we regularly develop fully integrated global marketing campaigns for some major brands across genres.

We're seeking Accounts Payable Associate who will be responsible for client billing and maintaining communication for client payments and bill or payment inquiries.

 

Duties and Responsibilities :

• Enters all vendor invoices and ensures that general ledger accounts are properly coded, and invoices are applied to the correct purchase order and posted in the correct time period.

• Maintains report of project transactions such as vendor invoices, client invoices, vendor payments, and client payments.

• Creates weekly accounts payable report and determines which invoices are eligible for payment based on client remittance.

• Reviews all invoices for appropriate documentation and approval prior to payment.

• Maintains and updates vendor remittance information as needed.

• Creates new vendor records in the accounting system as needed using vendor W-9.

• Answers all vendor inquiries and resolves any vendor discrepancies by reconciling our records against vendor statements.

• Maintains all accounts payable reports, spreadsheets and corporate accounts payable files.

• Assists Corporate Financial Officers and accounting personnel as necessary.

• Assists in monthly closings.

• Prepares analysis of accounts, as required.

• Filing and keeping digital files up-to-date.

• Performs other duties as assigned.
