The Executive Assistant is responsible for supporting executive-level operations, projects, and initiatives.

As part of the essential functions of this role, the Executive Assistant:

  • Manages calendars, schedules meetings, and books meeting rooms and/or venues for c-suite executive team; coordinates all meeting details.

  • Screens and directs incoming phone calls.

  • Responsible for all administrative facets of the agency boards and board committees, including scheduling and organizing meetings, preparing agendas, sending meeting reminders, taking meeting minutes, and maintaining organized and updated files and records.

  • Coordinates executive travel arrangements, including flights, accommodations, itineraries, and reimbursements.

  • Coordinates and organizes special events.

  • Prepares meeting agendas, takes meeting minutes and follows up on action items from meetings.

  • Supports Director of Business Planning and executive leadership in managing and executing special projects and initiatives; utilizes Monday.com to monitor project timelines.

  • Prepares reports, audit requests, presentations, letters of support, faxes, forms, and other documents.

  • Files, maintains, and retrieves corporate records, documents, and reports.

  • Updates and maintains a variety of organizational accounts.

  • Acts as back-up to Administrative Coordinator, including reception desk coverage.

    Qualified candidate will have a Bachelor’s degree with 3-5 years of experience in an administrative support position, preferably at the executive level; or equivalent combination of education and experience. Candidate must demonstrate excellent verbal and written communication skills and ability to communicate effectively and professionally with staff, patients, board members, vendors, and other external contacts. Candidate must have excellent organizational and time management skills, attention to detail, and a proven ability to meet deadlines. Ability to handle sensitive material, maintaining the highest level of confidentiality and displaying sound judgment, is essential. Candidate must show initiative, be able to prioritize tasks, have strong problem-solving skills and the ability to work independently and as part of a team.     Job type: Full-time

    Required education/experience: Bachelor’s degree with minimum of 3-5 years of experience in an administrative support position, preferably at the executive level; or equivalent combination of education and experience. Proficient with Microsoft software (Outlook, Word), including proven track record of managing complex calendars and scheduling meetings, appointments, and events.
