Assembly House 150 Director of Administration & Operations in Buffalo, New York

Assembly House 150 (AH150) is an innovative nonprofit art, design, and construction studio and incubator in Buffalo, NY. Home to the SACRA construction skills training program, AH150 creates inspiring, wondrous environments for all to experience the art of building. The team at AH150 consists of skilled craftspeople, builders, designers, artists, architects, educators, students, apprentices, and administrative professionals. They work with Artist Director Dennis Maher to teach skills of construction and craft while transforming Assembly House into a distinctive destination and realizing signature art and design projects. AH150 is headquartered in the former 1860s era Immaculate Conception Church, within an historic district included in the National Register of Historic Places in downtown Buffalo. The building is an active experiential learning site, art/design/construction workshop, and display space. Administrative staff share space with builders, designers, and students within a creative and ever-evolving environment.Position Opening: Director of Administration and OperationsAssembly House 150 seeks a highly skilled and experienced Director of Administration and Operations to ensure effective day-to-day workflow across its construction arts workshop and administrative activities and in relationships with external constituents. The Director of Administration and Operations will implement the vision of the Founder and Director to create a world-class destination at Assembly House and to realize signature projects of exceptional artistic merit. Essential Duties: Operations-Supervise daily operations for AH150 by ensuring execution of scheduled activities, work plans, and programmatic priorities as outlined by the Director. Coordinate with staff, contractors, and program participants to achieve goals and monitor organizational performance accordingly-Oversee the system of grant scheduling, requests, tracking, and the preparation of materials for grant reports. This work will be done in partnership with the Director, Grant Writer, Office Manager, and CFO. -Lead the preparation of materials to support the Grant Writer in submitting grant applications and maintaining compliance -Monitor financial performance, budget compliance, legal issues, and other tasks as assigned by the Director-Supervise the site/facility, ensuring that staff are properly keeping the building clean and safe and have materials/supplies required to advance projects in a timely manner.Relationship Building -Advocate for AH150 construction arts learning opportunities in the community through communication with educators, trades specialists, employers, and prospective and past program participants. Foster, build, and maintain relationships with stakeholders that advance the mission of AH150.-Supervise the proper and effective use of the CRM system. Consult with the Director about ways in which it is working and ways to improve its effectiveness.-Supervise the preparation and sending out of correspondence, e.g. event promotion, workshop activities, acknowledgement letters, etc.-Lead regularly and irregularly scheduled tours at Assembly House for donors, partners, and the public. -Supervise and drive planning and execution for small group engagements at Assembly House. Consult with the event planner for large engagements.-Supervise and drive correspondence with donors, partners, and other stakeholders. Business and Project Management-Manage the process for commissioned projects and sales/displays of objects in accordance with the Director’s vision and plan. To include: -Logistics, timelines, budget, contracts, and feasibility. Monitor systems, workflow, and delivery. -Identify and resolve issues as appropriate.Position Requirements:-Highly organized, with outstanding written, document creation, and oral communication skills. This position necessitates public speaking. The ideal candidate should be comfortable speaking in front of small and large groups.-Proven outstanding project management skills-Proven ability to coordinate and manage daily operational activities based upon the vision of the Director and the mission of the organization-Proven ability to communicate across a broad range of audiences—from construction industry, to cultural and educational sector, to politicians, donors and other stakeholders-Demonstrated critical thinking skills to plan and problem solve within the established artistic vision and framework of the organization and in coordination with the director-Demonstrated experience in coordinating and managing site facility, procurement, and contracts-Demonstrated experience supervising matters of HR, payroll, personnel, insurance, legal, and accounting-5 years of project management and coordination of daily activities of others-5 years of successfully navigating and managing external constituents-The position will require flexibility in the work schedule in order to accommodate duties/hours outside of a typical work day, including, for example, occasional weekend tour engagements and evening events. Salary range is 80,000 - $85,000 annually, plus health benefits and 26 total PTO days in the first year of employment.
