Vail Resorts Senior Executive Assistant in Broomfield, Colorado

Job Summary:

The Senior Executive Assistant is responsible for providing comprehensive administrative support to the Senior Vice President of Retail, Hospitality, and Guest services, and their Senior Leadership Team, including Chief of Staff, VP & COO of Retail & Rental, the VP of Strategic Business Development, the VP of Guest Services, and the VP of Sales and Reservations. This position must be committed to completing a wide variety of tasks independently with strong attention to detail, accuracy and follow-through. The ideal candidate will be highly organized, proactive, and possess exceptional communication and interpersonal skills. This role requires the ability to handle a wide range of administrative and executive support tasks with professionalism, discretion, and efficiency. This position is expected to understand the Senior Vice President’s schedule and priorities, and support him in maximizing time and focus through forward-thinking partnership.

  • The expected range is $72,000 - $87,110. Actual pay will be adjusted based on experience.

Job Responsibilities:

  • Provide poised and resourceful administrative assistance to the Senior Vice President and Senior Leadership Teams; accomplish goals and meet deadlines in a fast paced work environment.

  • Calendar Management: Manage, plan, and coordinate complex and ever-changing calendars for Executive and SLT members, including scheduling meetings, coordinating appointments, and proactively resolving scheduling conflicts.

  • Travel Arrangements: Arrange domestic and international travel accommodations for Executive and SLT members, including flights, hotel reservations, ground transportation, itinerary planning, and related expenses.

  • Meeting Coordination: In partnership with the Chief of Staff, prepare agendas, materials, and presentations for SLT meetings, record meeting minutes, and follow up on action items to ensure timely execution.

  • Special Projects: Support SLT members in executing special projects, initiatives, and events as assigned, demonstrating flexibility and adaptability to changing priorities.

  • Expense Reporting: Oversee the expense reporting process for Executive and SLT members, including reviewing and processing expense reports, ensuring accuracy and compliance with company policies, and obtaining necessary approvals.

  • Budget Oversight: Assist in monitoring departmental T&E and Employee Experience budgets, tracking expenses against budget allocations, identifying variances, and providing regular updates to SLT members.

  • Collaborate closely with the Chief of Staff to create, establish, implement, and oversee processes that enhance efficiency and effectiveness for the Executive and their Senior Leadership Team.

  • Support strategic projects and project management duties as required (e.g., developing PowerPoint presentations, memos, and communication plans).

  • Provide personal support, as needed, for the Executive Vice President.

  • Establish strong working relationships with key stakeholders including the executive committee and their assistants.

  • Follow and be an example setter of company policies and procedures.

  • Maintain divisional org charts and detailed divisional employee contact spreadsheet.

  • Become a super-user with the company’s administrative systems: Concur, Coupa, MS Teams, Mountain Money and SuccessFactors.

Skillset Requirements:

  • Possess a level of detail and accuracy, drive for results, and have the ability to anticipate business needs before requested. Be forward-planning.

  • Able to create a high level of trust and confidence acting with the utmost professionalism and discretion over the phone, through written communication and in person to accomplish requests and achieve goals.

  • Excellent self-management skills: organization, goal setting, time-management, self-motivation, self-directing, stress management, reliability, and accountability.

  • Demonstrate strong communication skills as a leader in your role and a contributor in a team-driven environment.

  • Operate with a clear understanding of confidentiality.

Job Qualifications:

  • Bachelor’s degree preferred.

  • 2+ years’ experience supporting a C-Suite executive required.

  • 5+ years’ experience providing support to multiple executives required.

  • Excellent oral and written communication skills required.

  • Proficient in Microsoft Office Suites (Word, PPT, Excel, Teams), SharePoint, Adobe Acrobat DC, DocuSign, and OneNote.

  • Strong critical thinking, problem solving, teamwork, collaboration and leadership skills.

  • Must be a progressive learner, organized, detail oriented, and professional.

  • Ability to multi-task with shifting priorities in a fast paced environment.

  • Must be flexible, resourceful, and demonstrate excellent time management skills.

  • Experience working for a publicly-held company preferred.

  • Experience in project management a plus.

The expected Total Compensation for this role is $72,000 - $87,110. Individual compensation decisions are based on a variety of factors.

Vail Resorts offers a ‘Hybrid’ work environment for Broomfield-based roles where employees must live within 50 miles of the Broomfield office and work on-site Tuesday, Wednesday, Thursday and have flexibility to work off-site on Mondays and Fridays.
