Metropolitan Family Services Executive Assistant (P/T) in Brooklyn, New York
Answers and directs all internal and external phone calls.
Writes and distributes emails, correspondence memos, letters, forms, etc.
Plans, organizes and schedules program meetings, appointments, and calendars.
Takes detailed meeting minutes and files minutes accordingly.
Assists in the preparation of regularly scheduled internal and external reports.
Assist in the day to day administrative duties for MFS office
Manage document flow, handling and routing mail, vendor management, office supplies, coordinating and scheduling appointments, filing and record keeping, various ad-hoc assignments
Gathering necessary documentation and data for payroll, corporate expenses, vacation /sick day requests, etc.
Proactively Coordinate with internal departments when issues arise or as needed;
Collaborate with fellow team members within multiple departments whenever necessary to maintain positive working relationships
Other duties as assigned by the Executive Director
Coordinates with outside systems (IT, telephone, Internet and other providers) to ensure prompt resolution of issues and continuous quality service.
Education and Professional Experience:
Minimum of 1 year of administrative experience
Proficiency in MS Office (MS Excel and MS PowerPoint
Excellent written and verbal communication skills
Attention to detail and problem solving skills
Good interpersonal skills and ability to work as a team.
Comfortable with multiple Outlook, MS Office, maintaining calendars, Scheduling and invoices.
B.A. or related Administrative Assistant experience
