Summary:
Consults with the Ambulatory practices within the MetroHealth network to manage and optimize provider schedules with the goal of helping Ambulatory practices achieve their scheduling access goals. Ensures the maintenance of provider templates, consults with practices to maintain Epic access, schedules builds, and analyze demand and capacity data to create actionable recommendations for improvement. Directs the daily activities and development of template coordinators and access analysts. Develops strong partnerships with colleagues across the MetroHealth network, including clinical and operational department leaders, project managers, EHR Epic application teams, and data/analytics teams. Provides direct supervision to the members of the Ambulatory Capacity Management team. Manages resources in the effective execution and evaluation of teamwork assignments and deliverables. Focuses on building a strong team culture and individual team member development. Coaches and mentors staff, including review of the annual competency model development plans. Manages additional staff within a matrixed organization, who may work directly initiatives, but have a separate reporting relationship. Builds relationships with clinical department leaders to drive ongoing improvement of patient access through optimal scheduling design and utilization of provider templates/capacity. Oversees a wide range of activities pertaining management of ambulatory scheduling workflow and technical build design, provider schedule template management and will be called upon to perform in-depth analysis and auditing to support the governance of scheduling and capacity functions in the Ambulatory setting. Required: Bachelor's Degree in Business Administration or related field, or any equivalent combination of education, training, and experience in addition to the experience stated below. Five years of experience in healthcare clinic operations with familiarity with EHR scheduling workflows. Three years of direct experience managing in a technical/build environment. Experience in working with multi-disciplinary groups. Experience in ambulatory capacity management areas of focus. Strong interpersonal and leadership skills. Ability to plan, coordinate, direct, and evaluate activities and projects. Demonstrated proficiency with Microsoft Office Suite. Demonstrated leadership, communication, mentoring, customer service, and excellent interpersonal skills. Strong analytic and decision-making abilities. Ability to work effectively at all levels in an organization. Exceptional communication skills - written, verbal, and listening.
Preferred: Master’s Degree in healthcare administration, business administration, or related field. Healthcare experience in physician referral development. EPIC credentials.
Physical Requirements: May sit, stand, stoop, bend, and ambulate intermittently during the day. May need to sit or stand for extended periods. See in the normal visual range with or without correction. Hear in the normal audio range with or without correction. Finger dexterity to operate office equipment required. May need to lift up to twenty-five (25) pounds on occasion. Ability to communicate in face-to-face, phone, email, and other communications. Ability to see computer monitor and departmental documents.
