Job Summary: The Assistant Residency Coordinator is responsible for supporting the activities and flow of work for the medicine residency program. This position also assists with coordinating the day-to-day administration of the academic and operational activities of Accreditation Council for Graduate Medical Education (ACGME) Internal Medicine resident training programs//in collaboration with the Program Directors (PDs)/Associate Program Directors (APDs), the Residency Coordinator, the GME Office, attending physicians and faculty. This position performs all responsibilities in accordance with ACGME guidelines, The Frank H. Netter School of Medicine at Quinnipiac University and St. Vincent Medical Center (SVMC) policies. In addition, this position also serves as Administrative Assistant to the Chair of Medicine, which includes scheduling meetings, physician re-appointments, minutes, physician payments, dialysis charges and assisting with CME. Responsibilities: · Collaborates with PDs/APDs and St. Vincent’s Affiliates to assist with monitoring compliance with the ACGME RRC internal medicine residency program requirements and assisting with providing educational coordination between Department Chiefs/Directors, attending physicians, ACGME Office, The Frank H. Netter School of Medicine at Quinnipiac University, St. Vincent’s GME Office, etc. · Performs administrative functions including scheduling rotations, attending meetings, assist with meeting minutes, and evaluations and meetings for residents and faculty. Provides administrative support to program staff; PD, APD, Residency Coordinator, GME Manager. · Assists with administrative responsibilities for the internal medicine program to include but not limited to resident evaluations, program curriculum, preparing reports, handling inquiries, maintaining current program manuals, maintaining program files and scheduling meetings. Assists with maintaining resident records and required documentation, accreditation documentation necessary for ACGME. · Assists residents and house staff with program requests, new resident recruitment, coordinating logistics of resident orientation, resident events, (i.e., in-training exam, CT ACP, resident well-being events, graduation). · Provides administrative support to the Chair of Medicine and acts as the department receptionist. Answers/triages department calls, schedules Chair’s meetings and coordinates quarterly Department staff meetings. Assists with physician reappointments, meeting minutes, peer review prep and minutes. · Assists with financials including, physician payments, department payables, inpatient dialysis charges, billing and reconciliation for Davita; Bridgeport dialysis billing. · Assist with CME process. · Perform other related duties as required. · Associate’s degree or equivalent combination of education and experience. Bachelors preferred. · Minimum 2 years’ relevant experience in a high-level secretarial and administrative support to a complex department, function or group of professionals. Hospital or medical experience preferred. · Prior work experience in Graduate Medical Education as a Residency or Fellowship Program Coordinator or prior work experience in an academic medical center preferred. Knowledge, Skills and Ability Requirements * · Excellent knowledge of Microsoft Office (Outlook, Word, Excel, PowerPoint) · Develops and maintains proficiency in utilizing database systems required to support graduate medical education training programs/[i.e. ERAS Database, Blackboard System, GME Track, ACGME Web ADS, New Innovations, NRMP, ABIM, HealthStream]/ · Develops and maintains a comprehensive and detailed understanding of national accreditation policies and hospital policies. · Ability to create, plan, and implement logistics of special events, meetings, project, etc. · Ability to utilize a high degree of initiative. · Independent judgment, resourcefulness and problem-solving skills. · Critical thinking skills · Strong communication and written skills · Ability to relate to people across various cultures and experiences, with a diverse group of high-performing professionals in training and to multiple colleagues and supervisors. · Must be detail oriented, organized and able to work independently, prioritizing work and establishing procedures · Able to work autonomously as well as collaborating with a team · Able to work in a fast-paced environment · Flexibility in schedule at certain times of the year depending on the needs of the program.
