Position Summary:

The Data Integrity Specialist is responsible for protecting the overall integrity of the electronic medical record (EMR) and legal health record (LHR), through the coordination and management of corrections, to ensure the quality and completeness of medical record documentation. This position accurately and objectively analyzes complex error correction scenarios, including duplicate record and overlay resolution, clinician note and contact moves, and other corrections as identified or needed. The Data Integrity Specialist works collaboratively with other organizational stakeholders to facilitate corrections, including but not limited to clinical users and leaders, applications team, patient access and billing teams, and source system administrators. This position partners with departmental and organizational leadership to develop the full scope of the data integrity program, including monitoring and reporting error and resolution rates, identifying trends and workflow improvements, and developing mitigation plans to prevent future errors or identify system opportunities to support accurate patient and record management.

Minimum Qualifications:

  • Associates degree; equivalent combination of education and experience will be considered

  • Two (2) years healthcare experience in a physician practice, hospital, or health system

  • Relevant EMR technical training or certification may be required after hire.

  • Preferred: Current Registered Health Information Technologist (RHIT), Registered Health Information Associate (RHIA), or other relevant healthcare certification. Willingness to obtain once hired is a plus.

  • Preferred: Five (5) years of healthcare experience in HIM/Revenue Cycle or IT/Informatics related role(s), using electronic medical record systems.

Essential Job Functions: In addition to the essential functions of the job listed below, employees must have on-time completion of all required education as assigned per DNV requirements, Bozeman Health policy, and other registry requirements.

  • Monitors, logs, and analyzes reported EMR errors/tickets and performs or coordinates the full scope of corrections, including patient and encounter/account merges, note and contact moves, active unidentified patient admissions, etc.

  • Performs or assigns and monitors completion of tasks assigned to interdisciplinary department resources to correct the legal medical record

  • Coordinates corrections to all source systems or applications, including document imaging system, clinical testing and diagnostic systems, etc.

  • Uses technical access to test systems to validate accuracy of corrections before performing production system updates.

  • Collaborates with clinical and technical teams to understand workflows, technical processes, and develops extensive knowledge of overall EMR usage to support policy and procedure development and compliance.

  • Prevents and mitigates patient safety or privacy concerns by ensuring demographic and guarantor information is accurate and up-to-date.

  • Responds to data integrity calls, emails, tickets, and other communications in a timely and thorough manner.

  • Logs and maintains metrics, creates and generates reports related to data integrity tickets and trends.

  • Schedules and leads Data Integrity meetings as needed.

Physical Requirements

  • Lifting, Pushing, and Pulling: Lift 30 pounds of weight (pick up supplies, move equipment, etc.) Carry equipment/supplies.

  • Extended Hours: The role may involve working for extended periods, requiring sitting, walking, or standing for eight or more hours daily.

  • Flexible Schedule: The position may necessitate working beyond a standard 40-hour workweek, including weekends and after-hours shifts.

  • On-Call Availability: On-call work may be required to respond promptly to organizational, patient, or employee needs.

  • Effective Communication: Proficient in effective communication, both in person and through various technologies.

  • Handling Challenging Situations: The role may involve dealing with upset individuals, requiring the ability to de-escalate situations and work effectively with frustrated patients, families, or employees.

  • Repetitive Tasks: Ability to perform repetitive tasks as needed to fulfill job responsibilities.
