Supplemental Staffing Administrative Assistant - Financial in Bowling Green, Ohio

Job Summary: The Administrative Assistant will play a vital role in ensuring the smooth operation of the office. This position is responsible for greeting clients and visitors, managing phone communications, maintaining office supplies, organizing meetings and events, and providing general administrative support. The ideal candidate will exhibit professionalism, attention to detail, and a strong commitment to confidentiality.

Key Responsibilities:

  • Reception Duties:

    • Greet clients, visitors, and guests; determine the purpose of their visit and direct them accordingly.
    • Answer and direct phone calls, taking messages as needed.
  • Administrative Support:

    • Create and maintain various spreadsheets, forms, applications, and letters with accuracy.
    • Assist in recording daily production data and other tasks as assigned by the Production Manager.
  • Office Management:

    • Maintain office inventory and order supplies as needed.
    • Ensure the reception area and workspace are clean and welcoming.
  • Event Coordination:

    • Assist in planning and organizing meetings, sales seminars, and company events (e.g., picnics, holiday parties).
    • Manage catering arrangements, room setup, and preparation of informational materials.
  • Mail and Package Handling:

    • Receive mail, documents, packages, and courier deliveries; distribute items as necessary.
  • Compliance and Confidentiality:

    • Maintain confidentiality and adhere to company safety procedures and policies.
  • Other Duties:

    • Perform other administrative tasks as assigned, including support for company functions and communications.

Qualifications:

  • High school diploma or equivalent; additional education or certifications in administration is a plus.
  • Proven experience as an administrative assistant or in a similar role.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and general office software.
  • Excellent communication and interpersonal skills.
  • Strong organizational skills with attention to detail.
  • Ability to multitask and prioritize effectively.
  • Demonstrated accountability and reliability in previous roles.
