The Patient Experience Representative I will be responsible for:

  • Administration:

  • Providing administrative support for multiple Cardiologists, including Chief of our Inpatient Cardiology Division & Director of the Cardiology Consult Service. Responsibilities include triaging phone calls, assisting in scheduling appointments, processing new patient intakes, requesting and tracking pre-appointment medical record requests.

  • Schedules appointments and meetings and maintains personal calendars for physician/supervisor(s). Reserves meeting locations, orders supplies and equipment and prepares meeting agenda and other materials. Prepares travel arrangements as necessary. Assists in organizing and scheduling conferences, seminars, and other department-sponsored programs or events, by receiving and recording registration forms and fees, ordering supplies and services, and performing other related duties as assigned. Process Reimbursement requests.

  • Recording and processing patient demographics, insurance/payment, and referral information for patient encounters.

  • Providing discharge summaries to soon to be discharged patients/families.

  • Responding to requests for routine information or assistance. Initiating calls for emergency services as required.

  • Providing routine clerical support as needed.

  • Communicating with other departments to coordinate ancillary clinical/administrative services.

  • Customer Service:

  • Interacting and providing positive and effective customer service to patients and families.

  • Responding to routine inquiries about hospital protocol, policies, and procedures.

  • Greeting, screening, and directing patients, families, and visitors.

  • Registering new patients.

  • May rotate in departments with call centers.

  • Scheduling:

  • Scheduling patient encounters and procedures to coordinate with and across providers, departments, and institutions.

  • Monitoring daily schedule and coordinating flow to optimize resource utilization and patient experience. Communicating with clinicians and supervisors and routing patients and visitors to maintain efficient patient/visitor flow.

To qualify, you must have:

  • High school diploma/GED required.

  • Previous customer service or administrative experience preferred.

  • A common knowledge or understanding of basic computer skills and concepts.

  • Ability to communicate in a clear, effective manner both orally and inwriting and demonstrate empathy in difficult interpersonal situations.

  • Ability to work with diverse internal and external constituencies.

  • Demonstrated ability to pay attention to detail and accuracy.
