The Patient Experience Representative I will be responsible for:

  • Administration:

  • Providing administrative support for multiple Cardiologists including Director, Pulmonary Hypertension Service. Responsibilities include triaging phone calls, assisting in scheduling appointments, processing new patient intakes, requesting, and tracking pre-appointment medical record requests assigned physicians including calendar management.

  • Primary administrative contact for Pulmonary Hypertension Service for all matters related to patient care coordination and team support. Scheduling meetings, programs, and events.

  • Answering, screening, and routing telephone calls. Recording and forwarding messages and triaging calls for urgent information or service. Responding to requests for routine information or assistance.

  • Scheduling appointments/meetings and maintaining calendars for physician/supervisor(s). Reserves meeting locations, orders supplies and equipment and prepares meeting agenda and other materials. Prepares travel arrangements as necessary. Assisting in organizing and scheduling conferences, seminars, and other department-sponsored programs or events, by receiving and recording registration forms and fees, ordering supplies and services, and performing other related duties as assigned. Processing reimbursement requests.

  • Providing routine clerical support and cross-coverage for other support staff as needed.

  • Communicating with other departments to coordinate ancillary clinical/administrative services.

  • Customer Service:

  • Interacting and providing positive and effective customer service to patients and families.

  • Greeting, screening, and directing patients, families and visitors.

  • Registering new patients.

  • May rotate in departments with call centers.

  • Patient Registration/Discharge:

  • Monitoring clinic activity to ensure the best possible patient experience.

  • Recording and processing patient demographics, insurance/payment, and referral information for patient encounters.

  • Collecting all necessary clinical documentation and information. Transcribing code and patient treatment information into a billing system.

  • Obtaining required authorizations, referrals, and verifications of insurance to compile patient and staff schedules.

  • Scheduling:

  • Scheduling patient encounters and procedures to coordinate with and across providers, departments, and institutions.

  • Communicating with clinicians and supervisors and routing patients and visitors to maintain efficient patient/visitor flow.

To qualify, you must have:

  • High school diploma/GED required.

  • Previous customer service or administrative experience preferred.

  • A common knowledge or understanding of basic computer skills and concepts.

  • Ability to communicate in a clear, effective manner both orally and inwriting and demonstrate empathy in difficult interpersonal situations.

  • Ability to work with diverse internal and external constituencies.

  • Demonstrated ability to pay attention to detail and accuracy.
