Aston Carter Event Coordinator in Boston, Massachusetts

Job Description

We are seeking a highly organized and proactive Group Assistant to support our dynamic team in Cambridge, MA. The ideal candidate will possess excellent organizational, interpersonal, and communication skills, and demonstrate good judgment and solid project management abilities. You will need to navigate and change directions quickly, maintain high levels of confidentiality, and handle multiple tasks efficiently. This role requires being onsite 2-3 days a week.

Responsibilities

  • Serve as the first point-of-contact for all team administrative needs.

  • Provide daily team support including purchasing goods and services, processing invoices, and reconciling expense reports.

  • Order team supplies, new hire equipment, and manage morale/event catering and supplies.

  • Assist with new hire setup and provide admin assistance when cohort members leave the program.

  • Manage distribution lists, security groups, and Teams groups.

  • Provide strategic calendar management and time planning support for the team calendar.

  • Coordinate team-wide calendar invites, including all-hands meetings, morale events, trainings, and stakeholder meetings.

  • Lead logistics and coordination for MAIDAP cohort onboarding, including communication with new hires, ordering and shipment of new-hire equipment, and organizing onboarding week.

  • Plan and support events, manage logistics, and contribute to team morale and dynamics.

  • Assist with onsite troubleshooting, audio-video, and technical issues.

  • Lead space-management processes and team spaces, including office locations, desk assignments, and conference rooms.

  • Address and resolve high-level space requests, and drive space changes based on utilization data and upcoming organizational changes.

Essential Skills

  • 1-2 years of experience in the field.

  • Strong organizational, interpersonal, and communication skills.

  • Excellent project management and problem-solving abilities.

  • Proficient in Microsoft Office products.

  • Ability to handle multiple tasks and set priorities effectively.

  • Exceptional time management skills and attention to detail.

Additional Skills & Qualifications

  • Experience in administrative support and event planning.

  • No degree is required to be eligible for this role.

  • Candidates with extensive executive assistant experience will not be eligible for the role.

Work Environment

This role is based in our Cambridge, MA office and requires being onsite 2-3 days a week. The team has a close-knit and welcoming culture, engaging in various team-building activities, socials, and events. Free parking is provided at the office, which is a significant perk given the city location. The role offers flexibility and involves a standard Monday to Friday schedule with 40 hours per week, with the possibility of up to 5 hours of overtime if needed. All necessary equipment will be provided by the company.

Pay and Benefits

The pay range for this position is $25.00 - $30.00
