Salary Range: $42,600 - $46,860 per year (paid hourly as $20.48 - $22.53 per hour)

Schedule: Monday – Friday,7:30 AM - 3:30 PM

Job Summary:

The Program Assistant plays a critical role in providing administrative support for the WFD program and creating an environment that is safe and welcoming and upholds the core values and mission for the SFH WFD. Acting in a warm, engaging, positive, and proactive way, the Program Assistant provides assistance, information, encourage individuals who are homeless to see the intersection between employment and housing, and, when appropriate, connects them to staff efficiently and effectively for further support. The Program Assistant works closely with an integrated team of service providers across the agency that is committed to stabilizing homeless adults in income, behavioral health and housing.

Essential Duties/Responsibilities:

  • Welcomes all visitors and orient them to the site/space and services. Acts as the information hub and main contact point for general department inquiries.

  • Distributes and accepts program applications and sets up appointments for program participants as needed.

  • Provides an initial assessment of visitors’ eligibility and interests to connect them with department staff and/or other internal SFH services and provides information on community resources such as MassHire centers.

  • Responsible for creating and maintaining ‘Job and Training Boards’ ensuring postings are up to date and relevant.

  • Responsible for coordinating all aspects of MAP graduations including scheduling, sending out invitations, creating MAP certificates and Graduation Program, ordering of food and supplies, connecting with IT for setting up technical support, etc.

  • Provides follow up retention outreach and support for former clients. Maintains spreadsheet of contacts and enters interactions into Clarity.

  • Responsible for setting up and maintaining regular Alumni Advisory group meetings.

  • Acts as the primary liaison to the Sober Home staff. Maintains master Sober Home list to share with students interested in sober housing. Facilitate client applications and conduct check-ins with sober home staff as requested.

  • Responsible for tracking and ordering office and food supplies, in compliance with department and agency guidelines.

  • Answers and directs telephone calls, emails, faxes and mail.

  • Triages individuals who are experiencing homelessness and qualify for a housing pathways assessment.

  • Maintains up-to-date and accurate records and enters data in all applicable databases.

  • Collaborates proactively with colleagues within the department as well as across SFH departments.

  • Performs other duties, such as assigned including supporting daily needs of Studio Shine.

  • Adheres to agency code of conduct.

  • Performs other duties as assigned.

Requirements

  • High School Diploma or equivalent required. Further education in a human service field a plus.

  • Experience with providing direct service in a human service setting preferred.

  • Administrative Support and Customer Service experience preferred.

  • Experience working with people who have experienced homelessness preferred.

  • Lived experience of homelessness and/or recovery a plus.

  • Bilingual in Spanish required.
