Position Summary:

Florida Atlantic University is seeking an Assistant Director of University Budgets – Boca Raton, FL.

The Assistant Director of University Budgets reports to the Director and Associate Director and assists in the management and coordination of the university-wide annual budget construction process and budget allocations. This position is responsible for developing financial and analytical reports, submitting the Operating Budget, Expenditures Analysis, and Salary Category Detail files to the Florida Board of Governors, maintaining regular contact with our customers to address business issues and processes, and working with technical areas to create solutions. May function for the Director or Associate Director in his/her absence.

Summary of Responsibilities include:

  • Prepares the University’s Internal Operating Budget by developing methods, models, and other decision support systems and establishes timelines and deadlines, ensuring timely submission. ​

  • Sets up budget phases for the budget process in budget development and salary planning, manages the various budget processes required in the Adaptive system, and works directly with departments to assist them in preparing the budget. Loads the board-approved budget from Adaptive into Workday. Provides training and support to university staff on the budget tool and other budget-related matters.

  • Analyzes historical data and financial trends and conducted financial analysis and forecasting to support decision-making for preparing the University’s internal operating budget.

  • Maintains the accuracy of financial data by assigning correct budget numbers and expense codes, preparing or reviewing budget adjustments, researching and analyzing data regarding updates needed, and preparing budget to actual detail reports as needed.

  • Updates, coordinates, and prepares the fee resolution for Board approval, maintains carry-forward by department, and prepares any other budget reports for Board of Governor submissions, internal requests, ad hoc requests, etc.

  • Assists in the establishment of system-wide policies and procedures which ensure that resources are used in the most effective and efficient manner by all campuses and departments of the University.

  • Stays abreast of changes in financial regulations that may impact budgetary processes. Communicates budgetary guidelines and processes to department heads and other relevant personnel.

  • Ensures budgetary controls by reviewing expenditure totals and preparing budget entries as required. This includes guiding and training department staff on how to complete various budget amendments and review their budgets.

  • Coordinates with the Office of Information Technology and Institutional Effectiveness and Analysis departments to obtain various reports and information as needed for budgeting and Board of Governor submissions.

  • Develops a competent, productive, and efficient departmental staff through supervision and delegation of duties.

  • Facilitates a work environment that encourages knowledge of, respect for, and development of skills to engage with other cultures or backgrounds.

  • Remains competent and current through self-directed professional reading, developing professional contacts with colleagues, attending professional development courses, and attending training and/or courses as required by the Director of Budget.

  • Contributes to the overall success of Financial Affairs by performing all other duties and responsibilities as assigned, maintaining high levels of accuracy, maintaining a professional demeanor and appropriate levels of confidentiality, and providing excellent customer service.

Minimum Qualifications:

Master's degree from an accredited institution in an appropriate area of specialization and two years of appropriate experience; or a bachelor's degree from an accredited institution in an appropriate area of specialization and four years of appropriate experience required.

Preferred Qualifications:

Proficient in Excel, Adaptive Planning, and Workday.

Salary:

$90,000 - $110,000 per year.
