UTAH NAVAJO TRUST ADMIN Office Technician (Receptionist) in BLANDING, Utah

POSITION DESCRIPTION

Office Technician/Receptionist

Full-Time: 8 hrs/day (8am-5pm), 5 days/week

The position of the State of Utah-Navajo Trust Fund (UNTF) Office Technician is a full-time position that includes duties and responsibilities for the UNTF front desk, answering telephones, taking messages, computer data entry, assisting the Education Specialist with college student funding applications, maintaining student files, and assisting other UNTF staff, assisting the Financial Manager with the processing of financial documents, and ensuring that the front office operates efficiently.

Incumbent shall perform all other duties and assignments as assigned by the Financial Manager and/or UNTF Administrator.  The work site for this position is Blanding, Utah.

I.  Duties and Responsibilities:

The staff member works under the direct supervision of the UNTF Financial Manager and indirectly under the Administrator in performing the following duties:

1.     Greets visitors to the UNTF front office, answers telephones, takes messages and ensures staff are informed of messages.

2.     Refers phone calls or visitors to the appropriate UNTF staff.

3.     Distributes in-coming mail, mails out-going correspondence, Creates and accepts any UPS/FEDEX deliveries and distributes deliveries to the appropriate people.

4.     Maintains a log-in, sign-in system at the front desk for visitors/clients bringing in documents.

5.     Maintains college student funding application files and other project files.  Scans project files into digital data share folders. 

6.     Enters all project-related accounting information for UNTF programs on FINET system (Finance forms).

7.    Provides assistance to UNTF Project Manager, Projects Specialist, Construction Supervisor, and Construction staff for requested paperwork, files & filing, files storage & retrieval, copying, etc.

8.     Reviews and codes construction worker timesheets and coordinates with staff to submit manual timesheets.

9.     Makes travel arrangements for individual staff or groups and Dine' Advisory Committee members.

10.   Consults with the UNTF Residency Database and fills out Residency Verification forms for Utah Navajo individuals seeking to comply with the State of Utah Driver's License requirements.

11.   Provides assistance in performing program functions, including invoicing; maintaining fiscal files and records management; conducting program monitoring for compliance; performing all duties with efficiency and effectiveness; and other required program assignments.

12.    Provides monthly progress reports to the UNTF Administrator; attends staff meetings, may be required to attend special monthly meetings, including Board of Trustees (BOT), UNTF Dine' Advisory Committee (DAC), the Endowment Committee as assigned. Completes other assigned tasks within the scope of position duties and responsibilities.

13.    Provides assistance to other staff or takes the lead to prepare the DAC Meeting package or BOT meeting package.

14.    Provides assistance to perform duties and responsibilities and special projects that have been assigned to the other UNTF Office Technician.

15.    Provides assistance in proof reading documents and minutes, making appropriate changes to documents that require corrections to grammar or spelling.

16.    Responds to student questions and UNTF education programs to the best knowledge of the incumbent in the absence of other staff.  The first preference is to refer education questions to staff that work with the college education program.

17.    Observes all applicable State personnel policies and procedures relative to this position.

II.  Immediate Supervisor:

Incumbent works under the direct supervision of UNTF Financial Manager and indirectly under the Administrator and in partnership and coordination with other UNTF staff. The Financial Manager shall perform the employee job pe formance evaluations for this position. 

III. Minimum Requirements:

Incumbent shall have the skills, knowledge, and abilities to perform the duties and responsibilities required for this position and to operate standard computer applications efficiently such as Microsoft Word, Excel, Access, Powerpoint, and Explorer, Google, Chrome, Google Meet, Zoom, Webex, Teams, and other teleconferencing software as well as any other database, spreadsheet, internet, and/or word processing applications.  Incumbent shall have at least a high school diploma or GED but that a two-year certificate or degree in an office management field is preferred.  Incumbent shall have at least one year's work experience in an office production environment. Incumbent shall have a valid driver's license. 

IV.  Proposed Wage: $14.80/hour
