Summary of Responsibilities: You will work cooperatively with clients and the President with the aim of providing positive client experiences. Your responsibilities can be summarized as front office reception duties, copying/filing, tax return processing, and other clerical tasks. This role handles all administrative duties in the office including the use of multiple software programs including but not limited to: Drake Tax and TaxDome. - GREETING: Welcome clients in a professional and friendly manner while identifying their needs/questions and how you can help meet their needs. - CLEANING: Maintain a tidy and clean reception, waiting area, and break room ? vacuum, sanitize, take out the trash, etc. - SCHEDULING: Schedule appointments. Update and maintain appointment calendar for office personnel. - PHONES: Answer and place phone calls on a multi-line phone system with proper and professional phone etiquette. Take clear messages, answer basic questions, and direct phone calls when necessary. - MAIL: Handle, route, and keep an accurate log of incoming/outgoing mail and packages. Prepare documents, letters, and tax returns for mailing. - BILLING: Create client invoices and collect payment prior to delivery of work product. - BANK DEPOSITS: Prepare checks and cash for daily deposit. (Note: You will not be the one delivering the deposit to the bank.) - COMMUNICATION: Compose client communications such as emails, letters, proposals, agreements, etc. Present tax returns to clients. - OFFICE MANAGEMENT: Maintain office equipment such as printer, copier, scanner, by replacing ink/toner cartridges, troubleshooting malfunctions and arranging for repairs. Maintain office supply inventory by regularly checking stock and placing orders in advance. - DOCUMENT PROCESSING: Keep track of all client documents through prompt scanning and filing to the appropriate locations. Print, copy, and bind client copy tax returns. - ACCOUNTABILITY: Must have the ability to work without immediate and constant supervision. Must be punctual and able to work scheduled hours. Job Qualifications: - Minimum of 5 years of experience as an Executive Secretary in a professional environment. (required) - Ability to read, write, speak and understand English proficiently and type 45 WPM. (required) - Knowledge of proper phone etiquette and business English usage, spelling, grammar, and punctuation. (required) - Strong verbal, organizational and interpersonal skills. (required) - Ability to operate office equipment including a multi-line phone system, copier, printer, fax machine. - Proficiency or experience in programs such as Excel, Word, Quickbooks, Drake Tax and TaxDome. - Computer literate and comfortable in a mostly paperless workplace. - Able to treat all client information as confidential. Hours: Full-time. Monday through Friday 9:00 a.m. - 5:00 p.m. Saturdays during tax season as needed (February - April). Pay: $17.50 - $21.00 per hour depending on qualifications.
