Summary This position is located within the Social Work Service at the George H O'Brien Jr. VA Medical Center, Big Springs, TX. You will perform duties in support of Social Work Service programs that do not have embedded program administrative support and in addition to providing general administrative support for the service. Responsibilities THIS IS NOT A VIRTUAL POSITION, YOU MUST LIVE WITHIN OR BE WILLING TO RELOCATE WITHIN A COMMUTABLE DISTANCE OF THE DUTY LOCATION Duties may include, but are not limited to the following: Composes, prepares, and processes correspondence using proper format, grammar, and spelling. Maintains service records regarding personnel actions. Transcribes meeting minutes. Serves as Service Timekeeper and maintains working relationship with Payroll to ensure accuracy of time reporting. Prepares travel requests. Troubleshoot issues and instructs staff on travel procedures/policy. Receives, screens, and directs callers and visitors. Obtains and monitors the use of services, supplies, or equipment for the office. Sorts mail and ensures it gets to the appropriate staff. Prepares public presentation outlines. Serves as Fund Control Point Clerk for General Social Work Fund. Serves as Talent Management System (TMS) administrator for service and provides regular reports on any deficiencies. Maintains calendar for Chief of Social Work Service, records appointments, and arranges meetings. Performs other duties as assigned. Qualifications To qualify for this position at the GS-5 level, you must meet one of the following: SPECIALIZED EXPERIENCE: You must possess 1 year of specialized experience, equivalent to the GS-4 level in the Federal service, that equipped you with the particular knowledge, skills, and abilities (KSA's) needed to successfully perform the duties of the position and that is typically in or related to this Secretary (Office Automation) position to be filled. Specialized experience for the position includes referring visitors and telephone calls to appropriate department; processing incoming and outgoing materials such as correspondence, reports, memoranda, and other forms of written communication; maintaining appointments, calendars, coordinating meetings, and scheduling conferences; experience performing timekeeping functions and making travel arrangements. OR SUBSTITUTION OF EDUCATION FOR EXPERIENCE: You must have successfully completed four years of education above the high school level. This education must have been obtained in an accredited business, secretarial or technical school, junior college, college or university. One year of full-time academic study is defined as 30 semester hours, 45 quarter hours, or the equivalent in a college or university, or at least 20 hours of classroom instruction per week for approximately 36 weeks in a business, secretarial, or technical school. One full year of graduate education is considered to be 18 semester hours. (COPY OF TRANSCRIPTS ARE REQUIRED AT TIME OF APPLICATION) OR COMBINATION OF EXPERIENCE AND EDUCATION: You must possess equivalent combinations of successfully completed post-high school education and specialized experience to meet total qualification requirements at the GS-5 level. You will receive credit for all qualifying experience, including volunteer experience. Physical Requirements: The work is sedentary. Typically, the employee may sit comfortably to do the work. However, there may some walking, standing, bending, and carrying of light items like papers or books. At times may have to respond to behavior management problem and assist in controlling escalating behavior. The work environment involves everyday risks or discomforts and requires normal safety precautions typical of such places as meeting and training rooms, libraries, or commercial vehicles.
