GAP Solutions Inc Executive Assistant in Bethesda, Maryland

Position Objective:

The Executive Assistant provides comprehensive administrative support to the Mission Office Director (MOD) and MOD Deputy Director (MODD) in various tasks and projects. This role is supporting the Advanced Research Projects Agency for Health (ARPA-H). The Executive Assistant plays a crucial role in supporting the efficient operation of the Mission Office by providing administrative assistance to the MOD and MODD.

Duties and Responsibilities:

  1. Task and Suspense Tracking :
  • Track and coordinate all taskers and deadlines within the program/office.

  • Ensure timely responses to requests and inquiries from various stakeholders.

    1. Calendar Management :
  • Maintain calendars for supported ARPA-H staff, including MOD and MODD.

  • Coordinate meetings, visits, and events, taking into account priorities and deadlines.

    1. Documentation Support :
  • Manage program documentation activities to ensure compliance with ARPA-H policies.

  • Develop and maintain distribution lists, document repositories, and technical documentation centers.

    1. File Management :
  • Maintain organized files to store program-related documents, briefings, contracts, and reports.

  • Assist in archive management, including compilation, retention, logging, and retrieval of files.

    1. General Office Support :
  • Process requests and track the status of ARPA-H IT equipment/services.

  • Provide administrative support to Government personnel, including answering inquiries and coordinating badge and PIV issuances.

  • Assist in office moves and in/out processing of staff.

    Basic Qualifications:

  • Degree Requirement: Associate's degree in any field.

  • Years of Experience: Minimum of 2 years of relevant administrative experience.

    Minimum Qualifications:

  • Proficiency in office software tools (e.g., Microsoft Office Suite).

  • Excellent organizational and time-management skills.

  • Strong communication and interpersonal abilities.

  • Attention to detail and ability to multitask.

  • Knowledge of administrative procedures and protocols.
