The incumbent performs duties related to support of services in the Primary Care outpatient clinics. Collaborates in an interdisciplinary coordinated care delivery model. Interact with both internal and external customers in a positive manner. Answer phone calls, emails, or other means from internal and external customers and triage appropriately. Verify third party insurance and updating information in the Insurance Capture Buffer (ICB) system. Sort and arrange materials for mailing. Use products from the Microsoft Office Suite and the ability to type at 30+ words per minute. Obtain medical information from patients. Assists patients through the check in and check out process either in person or via kiosk. Notifies the appropriate staff members of the patient's arrival. Provides patients with the After Visit Summary as part of the check out process. Schedules appointments and accurately interprets and verifies provider orders in accordance with VHA national scheduling guidelines and local policies and procedures. Uses community care consults to ensure patients get timely appointments, if criteria are met accordingly. Provides education on how to enter return to clinic (RTC) orders correctly and when to place consults, ordering tests and procedures in CPRS. Incumbent must have an in-depth knowledge about this process in order to assist new staff and help them to maximize efficiency and workload capture. Process and facilitate scheduling orders as directed by physicians and LIPs. Establish and maintain medical outpatient and inpatient records as well as administrative records. Enters appropriate information into patient's electronic health record. Identifies and communicates with appropriate staff in order to clarify RTC orders. Coordinate information and actions related to patient care services. Complete additional duties as assigned by Lead MSA and/or supervisor. Work Schedule: 8 hour tour between the hours of 07:00am-5:30pm PST, Monday-Friday Recruitment Incentive (Sign-on Bonus): Not Authorized Permanent Change of Station (Relocation Assistance): Not Authorized Pay: Competitive salary and regular salary increases. When setting pay, a higher step rate of the appropriate grade may be determined after consideration of higher or unique qualifications or special needs of the VA (Above Minimum Rate of the Grade). Grade Determinations:GS-5 MSA (Full Performance Level) Experience or Education. One year of experience equivalent to the next lower grade level (experience working in a medical or clinic setting, scheduling appointments, referring patients to specialty clinics, collecting insurance documentation, documentation in electronic health records, and advanced medical terminology) or 4 years of education above high school (must provide Transcripts if using Education to qualify) Demonstrated Knowledge, Skills, and Abilities. Candidates must demonstrate the KSAs below: Ability to operate computerized programs and systems to enter, modify and retrieve sensitive information/data into or from electronic medical records, scheduling systems and/or reports. Advanced knowledge of basic medical terminology specific to understand medical diagnosis and procedures sufficient to communicate clinical staff instructions to patients. Ability to make appointments in a clinical setting. Ability to work independently in the accomplishment of a wide variety of duties, performing patient support work. Ability to communicate effectively and professionally in person, electronically and or by telephone with internal and external customers. Skill in customer service with the ability to identify customer concerns and refer to the appropriate staff, as necessary, to ensure a satisfactory resolution.
