Indigo Real Estate Maintenance Admin Coordinator in Bellingham, Washington

Indigo Real Estate Services is looking for a versatile, take-charge assistant who can get things done. As a Maintenance HUB Admin, you play a crucial role in ensuring the smooth and efficient operation of our maintenance department. You will be the central point of contact for maintenance requests, schedule coordination, and administrative support. Your attention to detail and organizational skills will contribute to the overall success of our maintenance team.

Job Functions:

  • Maintenance Request Management : Receive, log, and prioritize maintenance requests from residents or staff. Ensure requests are routed to the appropriate maintenance personnel promptly.

  • Scheduling : Efficiently schedule maintenance appointments, inspections, and repairs. Coordinate with residents and maintenance staff to minimize disruptions while meeting service level agreements.

  • Documentation : Maintain accurate records of maintenance activities, work orders, and service histories. Keep digital and physical files organized and accessible.

  • Communication : Serve as a liaison between residents and maintenance personnel, providing updates on the status of maintenance requests and scheduling arrangements.

  • Inventory Management : Assist in maintaining inventory levels for maintenance supplies and equipment. Place orders as needed and track inventory expenditures.

  • Administrative Support : Provide administrative assistance to the maintenance department, including data entry, report generation, and documentation preparation.

  • Compliance : Ensure compliance with safety regulations and maintain records of safety training and certifications for maintenance personnel.

  • Customer Service : Deliver excellent customer service by addressing resident inquiries, resolving issues, and maintaining a positive and professional demeanor.

    Qualifications :

  • High school diploma or equivalent; additional education or certifications in administration/maintenance or a related field is a plus.

  • Previous administrative or coordination experience, preferably in a maintenance or property management setting.

  • Strong organizational skills with the ability to prioritize tasks and manage time effectively.

  • Proficiency in computer applications, including MS Office Suite. Experience with property management software is a bonus.

  • Excellent communication skills, both written and verbal.

  • Must be able to work at all levels in the organization.

  • Detail-oriented with a focus on accuracy in record-keeping and documentation.

  • Ability to work in a fast-paced environment, adapt to changing priorities, and handle multiple tasks simultaneously.

  • Customer-centric mindset with a commitment to delivering exceptional service to residents and team members.

  • Knowledge of maintenance and repair terminology and processes is advantageous but not mandatory.
