Whatcom Community College Fiscal Specialist 1-Accounts Payable in BELLINGHAM, Washington

Whatcom Community College invites applications for a Fiscal Specialist 1 (Class Code 151E) position focused on payables in the College's Business Office. This recruitment is open to ALL qualified applicants.

The Fiscal Specialist 1 supports members of the Whatcom Community College with payables, vendor setup, processing invoices, and all related fiscal activity. The Fiscal Specialist 1 also supports travel reimbursement, needed fiscal reconciliations, and adherence to purchasing requirements. Under the direct supervision of Director for Business and Finance, this position is primarily responsible for processing accounts payable transactions.

Responsibilities

Duties include but not limited to:

  • Performs work functions related to the processing of payments throughout the entire Accounts Payable cycle.
  • Ensures purchasing authorities and approval are in place prior to initiating purchases/procurements.
  • Processes purchase requisitions and receiving documents.
  • Creates purchase orders in alignment with procurement policies and requirements.
  • Maintains and processes travel expense reimbursement requests, ensuring compliance with state and institutional regulations and procedures.
  • Maintains purchasing records, researching and resolving matters as needed.
  • Reviews and allocates purchases to proper budgets and expense categories.
  • Ensures compliance with departmental, institutional and/or granting agency policies, rules and regulations.
  • Follows applicable fiscal guidelines, regulations, principles and standards to satisfy work responsibilities.
  • Monitors, balances, and reconciles various petty cash accounts. 
  • Uses computer hardware and software to produce timely and accurate work projects that fully satisfy the demands of assignments.
  • Provides customer service to internal and external customers, listening attentively, identifying issues, providing options in order to fulfill services, and/or exercising knowledge of laws and regulations to assist others and/or resolve complaints or conflicts.
  • Assists in the development of fiscal procedures.
  • Adheres to punctual and regular attendance.
  • Performs other related duties as assigned to meet the College's needs.
Qualifications

Minimum Qualifications:

  • Associate degree from an accredited institution or equivalent experience.
  • Two years of accounting/bookkeeping experience in an office environment.
  • Proficient in Accounting Software.
  • Excellent customer service skills. 
  • Demonstrated ability to be detail-oriented.

Preferred Qualifications:

  • Bachelor's degree or equivalent.
  • Demonstrates initiative, anticipates problems, and provides creative solutions. 
  • Ability to communicate clearly and effectively with individuals and groups within as well as outside the organization, orally and in writing.   
  • Actively contributes to a work environment that embraces diversity and uses diverse perspectives to enhance the attainment of organizational goals. 
  • Strong work ethic, attention to detail, prompt and courteous. 
Salary

Salary:

  • Range 40, full-time Classified salary starting at $3,477.00 per month with periodic increments to $4,517.00 per month. 
  • This position is not eligible for remote work.

Working Conditions:

  • Position's shift is 40 hours per week, Monday through Friday, 8 am-5pm.Indoor office in a shared work environment. May have extended hours sitting at the workstation. Hours maybe flexible during summer quarter. Ability to lift up to 10 pounds.
