Job Summary/Basic Function

About This Role:

The Administrative Specialist in the College of Education and Human Development Certification Office provides complex administrative support, assisting education students, faculty, staff, department heads, and external agencies in testing and accreditation compliance. This position requires exceptional organizational skills, attention to detail, and the ability to manage sensitive information, ensuring alignment with the university’s policies and accreditation standards.

The candidate collaborates across various teams, provides oversight of office operations, and supports training and evaluation of student workers. Responsibilities include testing inventory management, reporting to the Texas Education Agency, and maintaining accurate records while delivering superior customer service.

What You’ll Do – Position Responsibilities:

  • Testing and Accreditation Compliance

  • Oversee undergraduate test inventory, scheduling, and monitoring of the testing room.

  • Collaborate with the Texas Education Agency to manage reporting, approvals, and program completer confirmations.

  • Analyze and resolve compliance-related issues, ensuring adherence to state and institutional policies.

  • Administrative Support

  • Provide assistance to students, faculty, staff, and external organizations.

  • Interpret and explain policies and procedures to resolve issues or complaints.

  • Respond to student and faculty inquiries regarding scheduling and testing.

  • Reporting and Record Management

  • Perform confidential duties, including reporting for graduate and undergraduate programs.

  • Create, maintain, and secure both electronic and paper files, ensuring compliance with FERPA and university guidelines.

  • Prepare and submit special and recurring reports as needed.

  • Student Worker Oversight

  • Train and evaluate student workers and graduate assistants.

  • Create and maintain hiring forms, adjusting assignments to meet priority needs.

  • Customer Service

  • Greet and assist customers, answer questions, route calls, and distribute messages.

  • Provide individual tutoring and remediation support to students as needed.

  • Office Operations

  • Maintain inventory of office supplies and equipment; procure items as needed.

  • Research discrepancies and ensure office functionality through effective operational management.

  • Data Analysis and Research

  • Research, summarize, and analyze information to support departmental goals.

  • Compile data and calculate statistics to inform decision-making.

  • Experience using standard office equipment.

  • Demonstrated ability to handle confidential information with discretion.

  • Flexibility and a willingness to learn new software and systems.

Physical Requirements:

  • Able to lift 25 pounds and be able to perform a variety of physical tasks including lifting, bending, stooping, squatting, stair climbing, and walking between buildings.

Job Conditions:

  • Standard work hours with occasional flexibility to accommodate university needs.

Minimum Qualifications

  • High School or GED required.

  • Minimum of 3 years of administrative experience. An associate or bachelor’s degree, along with one year of administrative experience, can be utilized as a substitution.
