About This Role:
The undergraduate Research Associate serves as a liaison among faculty, students, Lamar’s research community, and the Director of O.U.R. in coordinating the execution of undergraduate research programs and providing assistance in the administration of the Office of Undergraduate Research (O.U.R.) as part of Lamar University’s research mission. The Associate provides general administrative and clerical support O.U.R. including maintaining in good order and confidentiality all internal documents and files both in electronic and hardcopy formats, taking phone calls, welcoming visitors, dispersing mail, acting as a courier for on-campus deliveries and pickups, filling, copying, faxing, word processing establishing and maintaining electronic records and files. The Associate is expected to show interest in developing and maintaining the O.U.R. webpage. The Associate is expected to serve the entire university in promoting, facilitating, and supporting the business items of the Office of Undergraduate Research, and act as the front-facing window of customer service to both internal and external constituencies. The position will work closely with the Director of O.U.R. and the university community in providing guidance and support for undergraduate students who are interested in performing research, assisting in administering multiple undergraduate research programs and helping in hosting undergraduate research conferences.
What You’ll Do – Position Responsibilities:
- Administrative/Department Support
Provides administrative support, financial oversight, and guidance related to undergraduate research as requested by the Director of the Office of Undergraduate Research (O.U.R.).
Works closely with faculty and staff to accomplish undergraduate research objectives.
Manages and archives electronic documentation, including operational budgets, personnel action forms, and travel requests and reimbursements, pertinent to the operations of O.U.R.
Helps the Director of O.U.R. to develop a calendar of events for the Office of Undergraduate Research. Schedules meetings for the Director’s calendar.
Enters and tracks purchase requisitions in a timely manner.
Coordinates the general maintenance of office equipment and facilities as necessary.
Maintains all computer and paper records and always ensures their confidentiality.
Make travel arrangements as needed for conferences, workshops, etc.
Prepares payroll EPAF / F3.2 forms and F4.7 Request to Pay Vendor forms.
Takes minutes during the meetings of the Director with the Advisory Board members, at the Director’s request, as well as for other ad-hoc or scheduled meetings with the Director of O.U.R. and keeps these notes confidential in an archive of the office.
- Communications
Serves as a liaison between undergraduate research students, faculty mentors, and the O.U.R. leadership.
Provides guidance and information to the students who are seeking opportunities to perform undergraduate research and creative activities at Lamar University.
In collaboration with the Director of O.U.R. and following the guidelines for printing of marketing and publicity materials, the Associate creates proceedings, newsletters, brochures, banners, and flyers, for communicating undergraduate research events and accomplishments to the broader university community.
Assists in organizing and hosting of undergraduate research conferences at Lamar University.
Develops content that is used on the webpages of O.U.R. and provides updates to web pages. Attention to detail. Web editors need to be able to identify small errors and inconsistencies.
Work in a multidisciplinary team of web and marketing professionals.
Follow web governance guidelines for the university.
Applies professional written and verbal communication skills and is able to adapt communication style to suit different audiences.

Proofreading: Good editing and proofreading skills help create concise and error-free content.
Basic computer skills and introductory knowledge of cloud software systems.
Preferred Content Management software experience.
Preferred knowledge of search engine optimization and best practices; ability to follow directions for search engine optimization in naming of images/pages/documents and adjusting content to adhere to university rules on SEO .
Physical Requirements:
With or without accommodation. Will require an individual to perform on-campus duty for 40 hours per week. Will frequently be required to perform desk-based computer tasks, use office telephone, speak clearly have adequate listening comprehension.
Job Conditions:
This position may require occasional evening and/or weekends to meet university and departmental needs.

Minimum Qualifications
Associate’s degree from an accredited college.
A minimum of 1 year of administrative experience.
