Description
Key responsibilities may include:
Reception and Phone Management:
Answering incoming calls, directing them to the appropriate person, taking messages, and scheduling appointments.
Calendar Management:
Maintaining and updating calendars for multiple staff members, scheduling meetings and appointments, and sending reminders.
Correspondence and Email Management:
Drafting emails, letters, and memos, preparing and distributing documents, and managing email inbox.
File Management:
Organizing and maintaining physical and electronic filing systems, retrieving documents as needed.
Data Entry:
Inputting data into spreadsheets and databases.
Meeting Coordination:
Preparing meeting agendas, booking conference rooms, taking meeting minutes, and distributing follow-up action items.
Travel Arrangements:
Assisting with booking travel accommodations, including flights and hotels.
Office Supplies and Maintenance:
Ordering office supplies, maintaining equipment, and coordinating minor repairs.
Greeting Visitors:
Welcoming clients and guests, providing basic information, and directing them to the appropriate person.
Required skills and qualifications:
Excellent communication skills, both verbal and written
Strong organizational and time management abilities
Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
Attention to detail and ability to prioritize tasks
Ability to work independently and as part of a team
Professional demeanor and customer service skills
Requirements
Key requirements include:
Communication skills: Excellent verbal and written communication to interact with colleagues, clients, and other stakeholders effectively.
Organizational skills: Ability to plan, prioritize, and manage multiple tasks simultaneously with a focus on detail.
Computer proficiency: Familiarity with Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant office software.
Time management: Efficiently managing deadlines and work schedules.
Scheduling skills: Coordinating appointments, meetings, and events.
Interpersonal skills: Building positive relationships with colleagues and clients.
Adaptability: Flexibility to handle changing priorities and unexpected tasks.
Potential additional requirements depending on the role:
Prior administrative experience, Travel arrangements, Basic accounting knowledge, Event planning experience, and Knowledge of specific industry software.
