Job Summary
The Risk Management Admin Assistant provides comprehensive administrative support to the Director of Risk Management and General Counsel. This role ensures smooth operation of the legal and risk management department by managing communications, scheduling, and assisting with various legal and risk management matters, documentation, communications, and project and insurance claims. The ideal candidate will be organized, proactive, and comfortable in a fast-paced environment with multiple priorities.

Typical Duties
Provide administrative support to the General Counsel, including document preparation, calendar management, accounts receivables, and meeting coordination
Assist in organizing and maintaining Risk Management and Safety database, legal documents, contracts, and insurance claims in accordance with McGuire & Hester’s policies
Manage communication and coordination between the risk management department and internal stakeholders, including project teams and field management
Assist with risk management efforts, including compiling and maintaining documentation for claims, compliance, and legal governance
Coordinate and assist in the preparation of materials for meetings including presentations, reports, and agendas
Support the General Counsel in managing corporate governance tasks and filings
Assist in tracking and coordinating deadlines related to legal and regulatory compliance
Handle confidential and sensitive information with discretion
Participate in team meetings and contribute to process improvements within the department
Qualifications

Education and Experience: Minimum of 4 years of experience as an administrative, legal, or risk management role; prior experience in insurance claims, construction, or legal/risk management support is a plus
Language Skills: Must be able to read and write in English at a professional level; strong written and verbal communication skills required. Bilingual in Spanish is a plus
Planning and Organizing: Ability to prioritize and organizes work activities; must manage multiple projects simultaneously while meeting deadlines and be very detail oriented
Problem Solving: Strong problem solving abilities, particularly in managing documentation, tracking deadlines, and handling administrative tasks
Computer Skills: Proficiency in Google Suite and Microsoft Office (Word, Excel, PowerPoint, Outlook), and the ability to quickly learn new software systems related to legal and risk management
Interpersonal Skills: Excellent interpersonal skills, with the ability to communicate effectively with a wide range of internal and external stakeholders, including clients, field teams, and leadership while maintaining a high degree of discretion and confidentiality
Certificates, Licenses, and Registration: Notary desired

$31 - $41/hr, based on skills experience and knowledge
