Job Summary

The Contacts Administrator facilitates productive relationships with project owners, vendors, and subcontractors to ensure the efficient and complete execution of contract items

Estimating Administrative Manager

Key Communication Partners

Director of Risk Management and General Counsel, Vice President of Operations, Vice President of Estimating, Contracts Specialist, AR Specialist, Compliance/AP, Project Managers and Project Engineers

Typical Duties

  • Administer contracts with Clients (order bonds, insurance, and escrow agreements as necessary)

  • Oversee administration of Subcontracts, Purchase Orders, Insurance, and Business Licenses

  • Complete preliens and prelien process

  • Set up job number and corresponding information in G Drive, Vista, and HeavyJob

  • Set up Escrow Agreements, initial set-up of job files, scan to maintain files as necessary

  • Enter cost codes in Vista and HeavyJob as requested

  • Oversee the follow-up on outstanding contracts, subcontracts, and purchase orders

  • Track expired certificates of insurance, request new ones, and review insurance certificates for compliance

  • Process internal insurance certificates at renewal time

  • Prepare and or process alternative insurance paperwork. Follow up on the status of the same

  • Process and scan insurance certificates and preliminary notices

  • Oversee the annual renewals of business Licenses

  • Ensure annual agreements are current

  • Assist in organizing the Contracts Specialist duties to optimum efficiency

  • Review and negotiate contracts with General Counsel support

  • Notarize contract documents as needed

  • Notify proper staff of new jobs, especially those with alternative insurance situations

  • Maintain positive business relationships with clients and business partners

  • Foster an efficient and productive environment

  • Provide assistance to other departments as needed

Education and Experience: high school diploma or GED preferred

Language Skills: must be able to read and write in English, and be able to negotiate contracts in a professional manner

Mathematical Skills: understanding of basic business math

Reasoning Ability: apply common sense understanding to carry out multiple-step instructions with standardized situations with occasional variables, strong discernment and excellent interpretation skills.

Computer Skills: ten-key by touch; must type at least 50 wpm, must be fluent with Microsoft Office suite. Individuals in this position will also need to be able to learn new technologies as they evolve or are implemented

Interpersonal Skills: the ability to interface and collaborate with a wide variety of people including clients, employees, managers, and agencies in a positive and professional manner

Certificates, Licenses, and Registration: Notary Certification required

Compensation:

$70k - $96k, based on skills experience and knowledge
