Johns Hopkins University Director, Financial Operations, Auxiliary Services in Baltimore, Maryland
We are seeking a Director, Financial Operations, Auxiliary Services who will work under the supervision of the Sr. Director, Finance & Administration in the University Student Services division. This is a senior position in University Student Services that will provide leadership and oversight of the financial, management, payroll, and administrative functions and systems that support University Student Services’ auxiliary services portfolio.
Auxiliary Services includes, but is not limited to, University housing and residential life (Homewood campus), residential and retail dining, scheduling and event services, retail leases, the campus bookstore/campus store operations, and vending commissions. Oversight of the budget and financial transactions that support the new Hopkins Student Center, opening in Summer 2025, is also part of the portfolio. Auxiliary Services comprises a staff of over 550 full-time and student employees and includes eleven residence halls and ten dining venues.
The Hopkins Student Center (“HSC”) is a much anticipated, new destination on campus. This role will serve as a primary point of contact for financial matters, supporting key university and campus partners as the HSC comes online and commences operation.
The Director performs complex financial analysis and planning for annual budgets and multi-year budgets of approximately $80 million in general operating budget and additional for capital and project accounts. This role is responsible for accounting functions supporting the core portfolio, including the billing of student housing and dining charges. Additionally, this position will be responsible for analyzing, along with key University partners, opportunities for revenue growth, alternative commission structures, and new ventures.
Specific Duties & Responsibilities
Finance
Manage and oversee the USS Auxiliary Services budget, including revenues, contracts, philanthropy, and interdepartmental transfers.
Oversee the annual budget and multi-year planning process, including required projections and submission of final budgets.
Represent the division and make formal presentations regarding overall fiscal status, budgeting strategies and methodologies.
Provide financial consultation and direction for significant, critical and complex central and divisional projects, business operations, and initiatives such as strategic master planning and budget deep dive analyses.
Perform trending and forecasting to aid in generating projections, identifying potential risks to the budget and ensuring sufficient funding for strategic initiatives.
Oversee the preparation of financial reports, reconciliations, and analyses.
Prepare year-end closing figures, prepare accruals as necessary, and analyze variances for submission to Central Budget Office and USS leadership.
Work with department administrators and directors to resolve deficit balances and other financial reporting/compliance/audit issues.
Develop expense and revenue pro formas for new initiatives based on historical and current budget data as well as industry and other source data.
Oversee the processes for billing the student rooms and board plans, develop and set the annual calendar for the process milestones, and ensure the system is updated and functioning correctly.
Develop and disseminate monthly, quarterly, semi- annual and annual a set of management reports summarizing department financial status.
Evaluate, and oversee reporting on, profitability and/or cost per facility/location, meal plan, event, space and/or student. Develop and monitor compliance.
Collaborate with senior leaders as required to resolve funding shortfalls.
Develop policies and procedures to ensure accurate accounting and administration of revenues and expenses and to provide adequate internal controls.
Oversee the authorization of transactions to ensure expenditures are following JHU and USS policies and governmental regulations.
Collaborate with the Associate Director of Finance, Strategic Initiatives on Capital planning.
Oversee the process to load budget and other data into the University’s accounting/budget system.
Planning and Projects
Handle special projects at the direction of the Senior Director.
Support and assist USS senior leadership team with strategic planning. Perform “deep dives” to determine available capital, debt capacity, and operating cost.
Serve on project committees and working groups.
Staff Supervision
Supervise 3 direct reports including the Senior Finance Manager for Auxiliary Services and the Finance Operations Manager for Auxiliaries, the Finance Manager for the Hopkins Student Center, as well as 3 indirect reports (a Sr. Financial Analyst and 2 Accounting Specialists).
Conduct annual reviews.
Develop staff.
Provide ongoing feedback.
Prioritize and direct work efforts.
Provide guidance and direction and resolve conflicts.
Motivate for higher collaboration and performance.
Conduct interviews and hire staff.
Promote and model a culture of exceptional customer service.
Partner with the Sr. Director, Finance & Administration to create a team culture that focuses on recruitment, retention, and recognition of the USS Finance Team staff.
Knowledge, Skills, & Abilities
Strong leadership and management skills; advanced analytical skills.
Ability to exercise sound, independent judgment in decision making.
Proficiency with business software packages; advanced Excel skills and familiarity with SAP preferred.
Excellent oral and written communication skills.
Ability to work with flexibility on several tasks simultaneously and to meet various concurrent deadlines is required.
Minimum Qualifications
Bachelor's Degree in Finance, Accounting, Business or related field.
Eight years progressively responsible financial and administrative management experience.
Supervisory experience.
Preferred Qualifications
Ten years of related financial/accounting and financial management experience.
Experience working in an academic environment preferred.
MBA and/or CPA preferred.
