Nature and Purpose

The Accounting Clerk/Administrative Assistant is responsible for handling the administrative tasks associated with the farm and Tucson operations. This position is required to work one or two days a week at the Dateland Jojoba farm, and three to four days a week at the Tucson office.

Accountabilities with Key Outcomes

  1. Purchases and Expenses
  • Track expense requisitions and request POs for purchase as instructed by the Farm Manager.

  • Process invoices with account codes for approval and submit to accounting.

  • Create reports for tracking expenses by asset or area for the purpose of cost analysis.

  • Coordinate quote requests

  1. Safety (Farm and Tucson Site)
  • Maintain safety files on shared drive, including safety audits, observation & coaching, and task exposure assessments.

  • Maintain files for safety program, including safety training records

  • Update JSA/SOP digital files.

  • Participate as a member of the safety committee (Take notes and distribute. actions to attendees for monthly safety committee meetings. Update actions items tracking list).

  • Coordinate annual safety meeting (Create and prepare forms for employees. Translate documents to Spanish for training and meetings).

  1. Record Keeping & Documentation
  • Organic Certification – Maintain files for tracking and documentation records

  • Maintenance Tracking – Update spreadsheet with repairs, expenses and daily maintenance on tractors, implements, vehicles, buildings, harvest

  • Inventory – track fertilizer and chemicals inventory

  • Input Data and generate digital reports per manual forms: Rainfall/Temperature Data, Irrigation calendar & water application records, Projection and harvest data, Field input records & inventory (fertilizer, pest control).

  1. General Administrative (Farm and Tucson Site)
  • Help facilitate communication and completion of forms for HR.

  • Order Office Supplies.

  • Provide general administrative and clerical support including, opening and sorting mail, data entry mailing, scanning, faxing and copying to management.

  • Filing (maintain electronic and hard copy filing system).

  • Create new forms, as needed.

  • Maintain contact lists.

  • Manage calendar for meetings, training, with employees.

  • Assume responsibility for maintenance of office equipment, including computers, copy machines and fax machines.

  • Other duties as assigned by Farm Manager or Operations Director.

  1. Travel to Dateland Jojoba farm one to two days per week.

Knowledge, Skills, Abilities and Experience

Essential

  • High school diploma or GED or completed degree(s) from an accredited institution that are above the minimum education requirement

  • 2-3 years Accounting clerk experience

  • 2-3 years Administrative experience

  • Bilingual (Spanish/English)

  • Strong documentation and paperwork management skills

  • Effective verbal and written communication skills

  • Familiarity with financial software

  • Proficiency in Microsoft Office products such as Word, Excel, and Outlook

  • Reporting skills

  • Typing proficiency

  • Organization, attention to detail, productivity, and dependability

Desirable

  • Agricultural experience
