Ability to meet strict deadlines when coordinating, assembling, preparing, and reviewing materials for the Texas Parks and Wildlife Commission meetings. Should be familiar with and/or use Adobe (suite and Pro) and Microsoft suite (TEAMS, OneDrive, SharePoint, etc.) when developing Commission agendas and books. This position will also receive guidance from the Executive Offices Executive Assistants regarding daily tasks necessary to support operational needs of the Executive Office. Primarily responsible for coordinating, assembling, preparing and reviewing materials for the Texas Parks and Wildlife Commission meetings within strict deadlines and with a high-level attention to detail for accuracy. Should be familiar with utilizing SharePoint and OneDrive to coordinate document preparation with multiple divisions and individuals. Duties include serving as a point of contact for the EO for coordinating activities and projects with other agencies and TPWD divisions. Coordinates travel arrangements for the Executive Office, prepares travel vouchers, and submits for processing. Assists division directors and their executive assistants with various projects and activities coordinated out of the EO. Reviews and edits of agency correspondence, reports, and multitasks on a daily basis. May represent the EO or TPWD at meetings or functions. Assists with Advisory Committee updates with membership lists, letters, and meetings. Maintains professional working relationships with agency staff and individuals served by TPWD. Support includes logging mail and correspondence into the agencys tracking system, reviewing and editing agency correspondence and reports, assisting with records retention, coordinating and/or assisting with the purchase of office supplies, processing receipts of deliveries in the CAPPS Financial system, and knowledge of and familiarity with TEAMS, SharePoint and OneDrive, etc., for coordination of cross-divisional input to Agency information and data. Capability to multitask on a daily basis and perform additional duties as assigned.
