Qualifications: KEY QUALIFICATIONS Experience providing administrative support to management Experience maintaining databases, records, and/or filing systems. Experience with project management/coordinating assignments. Experience preparing, proofing technical documents, correspondence and concise reports/manuals. HERES WHAT YOULL BE DOING... Plan, develop and coordinate advanced administrative projects for the division. Participate in projects/teams to develop, automate, streamline, and modify enhancements to administrative processes and systems. Works closely with Records Management staff to develop and coordinate processes related to the accessibility, transfer, maintenance, and archiving of division records stored in the agency Central File Room Online. Provide support to division staff in the use of division administrative systems and processes. Advise and consult with management, staff, and external customers regarding administrative and technical matters as they relate to division Business Support Section (BSS) functions and processes. Proofs, edits, review, monitors, and/or updates assignments, guidance documents, correspondence, technical documents, and projects completed by BSS staff. Assist with monitoring data entry and functionality of division and agency databases (e.g., Air New Source Review Information Management System (IMS), Title V IMS, RNEW, ElecRsp, Central Registry, PIRCs, Open-Ended Permit Reporting, and BATS) to track, ensure accuracy, and operational efficiency. Deliver guidance and training to staff, ensuring consistency with agency processes. Develop and runs periodic and custom reports for management. Prepare and deliver presentations as necessary. Serves as the records liaison for the division. Lead and participate in section functions, staff meetings, and other division and agency events. Represent the section and division in work groups for rule, form, policy development and streamlining. Assist the section in monitoring processing time frames. EDUCATION EXPERIENCE Graduation from a standard senior high school or its equivalent plus six years of full-time experience providing administrative support in an office setting. Fifteen semester hours from an accredited college or university may be substituted for each six months of the required experience with a maximum substitution of four years.
