UNIVERSITY OF TEXAS AT AUSTIN Senior HR and Compliance Coordinator in Austin, Texas

Participate in a lead role in the online UT High School Special Purpose District Business Services Office by planning and implementing systems and policies for a variety of human resources functions in coordination with the UTHS, College of Education, and University Human Resources and Business Office teams, campus and district leadership, staff, and contractors. Lead the process for monitoring and refining programs to align with established goals. Collect information, prepare and routinely update data for staff and contractor PEIMS reporting, including accessing TEAL applications and utilizing Excel, Skyward, Workday, and UT Box systems. Establish systems for consistent operational procedures, monitoring accuracy of data submissions, and alignment with local, state, and federal policies. Prepare monthly tracking reports for staff leave/timesheets, part-time wages, and full-time salaries to support supervisors. Coordinate activities to define measurable outcomes and plan for continuous improvement. Manage projects with attention to detail and effective coordination and communication in alignment with UTHSD systems and staff. Attend trainings and conferences to stay current on K-12 public school district legal issues related to human resources, state reporting, and employee expectations. Support recruiting efforts and share best practices, including occasional travel. Other related functions and special projects as assigned.Maintain data and tracking of active educator certification and licensing and send notifications to contractors and employees to ensure renewals and ongoing compliance. Organize and track training certificates for contractors and employees including summary data regarding required trainings by topic and fiscal year. Prepare reports for contractors monthly payment processes in coordination with program leaders and UTHS Business Services team members. Prepare and deliver training and policy updates to staff and contractors via multiple modalities including print, email, webinars, and in-person sessions. Establish practices and procedures for technology, storage, and archiving solutions in coordination with technology leaders for all planning and reporting processes.Lead processes for recruiting, hiring, appointments, communications, and notifications. Write K-12 positions job descriptions aligned with typical responsibilities, required qualifications, and UTHS program needs. Conduct market analysis of University and K-12 publics school districts regionally to recommend salaries. Post jobs on approved external search engines and social media to support recruiting efforts. Prepare job offer letters and verbal job offers. Prepare merit increase letters and other employee notifications. Participate in the performance management and support supervisors and employees during corrective actions processes. Coordinate with College of Education and University Human Resources experts for guidance on specialty topics such as performance management processes. Support job posting processes and position appointments in Workday. Define and adhere to internal audit and approval processes to establish systems for accuracy and meeting deadlines. Prepare, coordinate, deliver, and track UTHS Onboarding trainings for new employees and contractors. Maintain UT Box shared folders and files for employees and contractors.Coordinate DPS, CJIS, fingerprinting, and background check processes. Work closely with UTHS Business Services Team and College of Education Human Resources Team to coordinate processes. Routinely upload data in the DPS systems and monitor contractor and employee notifications of CJIS information to ensure compliance with University, K-12 public school district, Texas Education Agency, and state policies and requirements. Follow and update UTHS procedural documents to maintain ongoing compliance, complete internal audits, and prepare for DPS audits. Train new Business Services team members on processes as needed. Prepa e and upload employee and contractor information in the TEA TEAL system and coordinate fingerprinting processes for new employees and contractors. Maintain detailed ongoing tracking spreadsheets to document compliance.Serve as a lead for UTHS employee relations to answer questions and provide information, references, and resources regarding a variety of topics, such as leave policies, timesheet entries, and internal UTHS human resources policies. Support employees in understanding UTHS SMART goals processes and aligning their work with organizational goals. Help employees troubleshoot situations and provide key contacts for expertise in specialty topics. Routinely collaborate and seek guidance from College of Education Human Resources Director and University Human Resources specialists. Engage in ongoing training on University and state required policies and procedures. Provide updates for supervisors and staff. Maintain guiding documents and provide resources and contact information to employees for key University support resources in areas such as employee counseling offerings, professional development offered in UT Learn and other platforms, references to speak with UT specialists regarding benefits, FMLA, Parental Leave, and other specialty topics. Make recommendations and prepare trainings and services to align and improve employee engagement.
