Job Description The Railroad Commission of Texas has direct oversight of over almost half a million miles of Intra-State pipelines. The Pipeline Safety Department in the Oversight and Safety Division is seeking an Administrative Assistant to perform routine to complex professional administrative support in the Commissions statewide Pipeline Safety Damage Prevention Program. Work involves preparing, editing, and distributing correspondence, reports, studies, forms, and documents; answering and routing phone calls, mail, files, and orders; creating, maintaining, and entering information into databases; compiling data for charts, reports, databases, or summaries; preparing documents for agency programs, services, and procedures; replying verbally and in writing to regulatory inquiries from the public and regulated industry; establishing work goals, following guidelines; and prioritizing assignments to meet workload performance standards. Work is performed under the general supervision of the Pipeline Safety Department Manager, with limited latitude for the use of initiative and independent judgment. Essential Job Duties Prepares and disseminates information concerning programs and procedures. Prepares and maintains Damage Prevention documents required for monthly conference. Prepares, edits, and distributes correspondence, reports, forms, and documents. Maintains filing, record-keeping, and records management systems. Compiles and enters data for charts, graphs, databases, summaries, or reports. Provides assistance answering and routing phone calls, taking messages, and directing visitors. Responds to high volume inquiry phone calls and regulatory requirements emails. Maintains detailed updates to online databases. Responsible for specific tasks and special assignments as needed. Completes internet-based data collection, query, entry, and analysis. Maintains high attention to detail while working on multiple reports and inquiries. Performs detailed and repetitive assignments in recording and allocating of money received in the agencys Remittance Management System (RMS) database on a daily basis. Generates and maintains a status report of Pipeline Safety fees collected. Assi t with processing incoming and outgoing mail. Performs related work as assigned. Must be able to work Mon-Fri 8:00AM 5:00PM. 1 year of experience administrative support work or customer service or clerical work in a professional office setting. Preferred Qualifications One year experience using Microsoft OneDrive, SharePoint and/or Teams One year experience in composing business documents with effective use of grammar, reading and comprehension, and appropriate audience content. Knowledge, Skills, and Abilities Ability to work effectively on a team. Ability to address issues/concerns in a professional manner. Ability to respond to high pressure situations and meet changing demands and timelines. Ability to learn regulations and standards. Proficient in the use of computer systems utilizing Microsoft Office Suite and database systems. Demonstrate excellent organizational, communication and writing skills. Knowledge of office practices; of administrative and technical procedures; and of applicable policies, administrative codes, and statutes. Knowledge and understanding of damage prevention regulations and best practices. Excellent organizational, communication and writing skills. Ability to effectively communicate regulatory information to a variety of audiences (verbal/written). Ability to prioritize workload or shifting priorities to ensure deadlines are met. Ability to address issues/concerns in a professional manner. Ability to maintain working relationships with internal/external stakeholders. Ability to organize, file, record, and retrieve information and data. Work Hours and Telework:Standard office hours for Commission employees are 8:00 a.m. to 5:00 p.m., Monday through Friday. Our agency offers alternate schedules for employees, as long as it does not adversely affect operations and service levels, and standard hours of operation are maintained. The Commission may also offer telework based on the agencys approved Telework Plan. Alternate work schedules and telework may be discussed with the hiring manager during the interview process.
