Clickhere to see an inside look at the Texas Comptrollers office Agency standard work hours are Monday through Friday from 8am to 5pm, 20 hours per week with occasional evening and weekend hours. Hours are subject to change based upon business need or division determination. Qualifications: Minimum Qualifications Education: Graduation from a standard senior high school or equivalent. Experience: Three (3) years experience clerical office and/or administrative work. Preferred Experience: Experience using Microsoft Word and Excel. Experience using a multi-line telephone. SUMMARY OF PHYSICAL REQUIREMENTS The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. This position requires the incumbent to primarily perform sedentary office work; however, mobility (standing and walking) is routinely required to carry out some duties. It requires extensive computer, telephone and client/customer contact. It requires the ability to bend, stoop, kneel, and reach as needed for filing and similar routine office duties. The job also requires normal cognitive abilities requiring the ability to learn, recall, and apply certain practices and policies. It requires the stamina to maintain attention to detail despite interruptions. Marginal or corrected visual and auditory requirements are required for reading printed mate rials and computer screens and communicating with internal and external customers. The individual must be able to transport a laptop computer and printer to the various audit locations to conduct the necessary field work. The individual must be able to lift, pull, physically handle, and transport taxpayer records, documents, boxes, and all related information, weighing up to 30 pounds when required. The individual must be able sit for long periods of time when commuting to and from assigned destination. Employees are required to use their personal mobile phones as a part of 2 factor/multi factor authentication for accessing CPA systems securely. You will also receive crit cal/emergency calls/texts on your cell phone to ensure immediate communication. In this role you will: Performs program support for management. Performs imaging duties and assists in maintaining the imaging equipment. Receives, distributes, and date stamps incoming mail. Provides assistance by answering and routing phone calls, taking messages, and greeting and directing visitors to the appropriate staff. Develops, coordinates, and maintains filing system for audit diskettes. Performs word processing work associated with audits utilizing Microsoft Word. Prepares, edits, and distributes various cover letters for amended audit reports, amended letters, indexes and mailing labels. Performs copy and assembly functions for each audit completed. Prioritize word processing workload. Priority work includes statute audits, amendments in hearings, credits and refunds. Processes audit collections on Agency Work Manager and deposits funds. Complies with Agency Records Retention requirements. Maintains personnel folders. Receives and date stamps incoming mail distributes accordingly. Maintains mail logs as necessary. Prepares outgoing mail and maintains postage balances. Performs copying, sorting, filing and all other incoming and outgoing mail activities. Compiles monthly reports as requested by management. Coordinates and maintains property and supplies inventory. Orders stocked supplies and forms. Orders non-stocked products, services, and subscriptions by running appropriate inquiries, obtaining requisition numbers from Headquarters, and forwarding invoices to Accounts Payable for payment. Orders products and services with state-issued credit card, maintaining a Credit Card Purchasing Log to reconcile purchases, and processes invoices for payment. Prepares parcels and documents for shipping, verifies billings, and forwards invoices to Accounts Payable. Maintains furniture and equipment inventory. Maintains inventory of all keys (i.e. building, office, desk, file cabinets), IDs, drivers license, automobile insurance, etc. Meets training requirements. Prioritizes, plans and organizes assignments in a manner which optimizes efficiency. Plans available time to efficiently complete assigned tasks. Is dependable, meets deadlines and produces high quality work. Is receptive to constructive feedback and adjusts work behavior based on feedback. Is responsive to inquiries and assignments in a timely manner, regardless of the requestors status. Orients newly hired administrative support staff and new auditors regarding field office practices and agency policies and procedures. Travels occasionally to participate in special projects and attend mandatory training located in local and out of town locations that may require overnight stays. Performs other duties as assigned.
