TEXAS WORKFORCE COMMISSION Administrative Assistant (Hybrid) in AUSTIN, Texas

WHO YOU ARE: An administrative professional who performs administrative support and technical program assistance. You possess strong multi-tasking, attention to detail, and organizational skills. Work involves maintaining calendars and events, disseminating information, maintaining filing systems, and performing administrative support work.
WHAT YOU WILL DO: The Administrative Assistant supports the Director of Career Schools and Colleges. Responsibilities include maintaining document management systems to ensure accurate and easy retrieval of documents, answering and directing incoming phone calls, taking detailed messages when necessary, processing and reconciling payments, and routing mail to ensure timely delivery and response. Additional duties include maintaining adequate levels of office supplies, placing orders as needed, and ensuring that the office environment remains organized and well-stocked to support daily operations. Performs complex (journey-level) administrative support work. Works under general supervision, with moderate latitude for the use of initiative and independent judgment.
YOU WILL BE TRUSTED TO: -Oversee department support services, including procurement and administrative support, ensuring efficient and accurate departmental operations. -Prepare and disseminate information concerning agency programs and services. -Compile and enter data for databases, summaries, or reports. -Process and reconcile application payments. -Prepare, edit, and distribute correspondence, reports, forms, and documents. -Maintain filing, record-keeping, and records management systems. -Coordinate meetings and conferences on behalf of the Director and departmental staff. -Assist in the development of administrative or technical assistance policies and procedures. -Respond to inquiries and interpret rules, regulations, policies, and procedures. -May research, compose, design, or edit agency publications such as brochures, forms, and manuals. -May assist with the development of presentations and training materials. -Coordinate and oversee schedules and travel arrangements for the Director and department staff. -Perform related work as assigned.
YOU QUALIFY WITH: -Two years of full-time experience that provided knowledge of administrative support functions and office practices and procedures, or clerical administration and business management practices, such as preparation, maintenance, and control of forms, records and reports. -Relevant academic credits may be applied toward experience qualifications for this position.
