Part Time Liaison

JOB SUMMARY : We are seeking an organized and efficient Deli/Bakery Order Liaison for our corporate office, located on the South Naperville /Aurora border. This is a part time position. Hours can be discussed.

MDBS is the largest provider of Deli/Bakery Departments to the U.S Military, with over 103 locations across the U.S. Our Order Liaisons are the first point of contact for our management team regarding Vendor Orders, Delivery Concerns, and Deli/Bakery product quality concerns. This liaison will be responsible for approving orders and responding to delivery concerns for approximately 20 stores. In addition to the store communication, they would be required to interact with MDBS suppliers and distributors, to secure response for managers.

Job duties and responsibilities

Liaison Facilitates the Ordering/Delivery Concerns/Credit Process for Stores

+ + Approves orders in Business System for stores vendors, ensuring PO requirements met.

  • Call in orders.

  • Communicate with vendors if stores report late or missing orders and/or get tracking information.

  • Problem solves when there are delivery issues (i.e. store didn’t get chickens on a load, when/how can they get more? OR how do we get seasonal items to you when you don’t have an order this week)

    Add (key in) seasonal items to orders.

    • Create order recaps and load calculators.
  • Maintain order reference sheets for stores.

  • Work with vendors to create special holiday ordering schedules and notify the stores and DM’s.

  • Notify Business System Staff when we find out items are discontinued or being replaced.

  • Collect all information from stores for credits and submit it to the Credit Coordinator.

  • Be a central contact for questions via phone and e-mail; coordinate with internal employees when there are questions the liaison cannot answer.

  • Help with other admin tasks as needed.

    Requirements and qualifications

  • Experience in Grocery, Deli/Bakery or Food Service strongly preferred.

  • Excellent communication and customer service skills

  • Friendly and professional personality, for interacting with MDBS managers and supplier customer service staff.

  • Strong computer skills and some college, helpful but not required.
