Boehringer Ingelheim Human Pharma Administrator in Auckland, New Zealand

The Position

An exciting job opportunity is now open as a Human Pharma Administrator. This position is a permanent, full-time role based in New Zealand and will report directly to the Head of Business Unit – Human Pharma.

Seamlessly being the conduit between the Sales and Marketing Human Pharma (HP) teams with this split of responsibility being approximately 50% for each department. The role involves undertaking the Human Pharma administrative functions and supporting the National Sales Manager (NSM) and the Sales Representatives as well as the Marketing team which includes the Business Unit Manager (BUM), Senior Product Managers (SPM), Marketing Associate (MA) and the Medical Manager (MM).

Tasks & Responsibilities

  • Coordination of all logistics with the NSM (Sales Team Meetings) and the Marketing & Medical team for Scientific Meetings including venue sourcing and all other related logistics (pre, during & post each meeting).

  • Successful implementation of the Sales, Marketing & Medical administrative functions including purchase order processing, HP Sales team administration responsibilities such as promotional material management, product sample requests etc. and MDGx vendor management for Human Pharma.

  • Ensuring all materials available to the HP team are current and compliant with internal SOPs.

  • Maintain Promotional Material compliance at PMA, arrange for destruction of out-of-date material and assign Malcove codes & categories to new material.

  • Support the SPM & MM to ensure key brand strategies and tactics are implemented successfully including all logistics relating to brand and Medical (scientific) meetings using Veeva Events Management, venue sourcing, speaker logistics (Contracts & CORA) invitations (digital & print) etc.

Requirements

  • 3-5 years’ experience in a similar role

  • Strong organisational skills, ability to multitask and work autonomously

  • Event management and/or conference coordinator

  • Proficient in Microsoft Office applications e.g. Word, Excel & PPT, and general computer literacy

  • Veeva VAULT experience would be beneficial

  • BA or Marketing degree beneficial but not essential
