Menlo School Admissions Assistant in Atherton, California

Menlo School is seeking an energetic and dedicated individual to join our Admissions Office as the Admissions Assistant. This role is pivotal in the success of the School through the Admissions Office as a key ambassador for the mission, values, and brand of Menlo. This position serves three critical functions in the office:

1) assisting the Director of Admissions and Financial Aid;

2) leading as the first point of contact and ongoing support in the Menlo School Admissions process for a diverse prospective student and parent/guardian population;

3) and managing critical operational functions of the admissions office.

This position works closely with other members of the school community as well as the wider public and holds opportunities for professional growth and increased responsibility over time.

Key Responsibilities:

Assistant to the Director of Admissions & Financial Aid

Primary areas of responsibility include but are not limited to:

  • managing the calendar of the Director and office while coordinating with internal and external stakeholders;

  • filtering, prioritizing, and responding to incoming requests and emails on behalf of the Director as needed;

  • preparing materials, agendas, reports, and relevant documents in advance of meetings for the Director as needed;

  • and organizing and scheduling meetings with high attention to detail on conference room bookings, vendors, necessary AV equipment, communication to participants, meeting materials, and agendas.

    Prospective and Current Family Support

    Primary areas of responsibility include but are not limited to:

  • providing high-touch and exceptional client support for prospective families;

  • greeting and assisting prospective students and families during visits to the school, providing information and assistance to create a welcoming environment and positive experience;

  • triaging, responding to, and delegating telephone and email inquiries from prospective students, parents/guardians, feeder school personnel, and consultants in a timely and professional manner;

  • managing the admissions database; updating, organizing, and maintaining admissions records, ensuring the accuracy and completeness of information;

  • generating reports from the admissions database as needed to support the decision-making processes;

  • assisting in the planning and execution of events produced by the Admissions Office (in-person and virtual) for prospective, admitted, and enrolled students and their parents/guardians;

  • coordinating with the Menlo School Receptionist to add admissions events to the school’s master calendar;

  • preparing paper mailings and pushing bulk emails to prospective students and parents/guardians;

  • coordinating admitted student mailing and bulk emails to prospective students and families;

  • and assisting parents/guardians who primarily communicate personally or professionally in a language other than English in accessing translations of all Menlo information in coordination with the Family Support Office.

    Admissions Office Administrative Support

    Primary areas of responsibility include but are not limited to:

  • providing administrative support for the Admissions Office;

  • ordering, maintaining, and preparing admissions materials and supplies for events, fairs, meetings, and all technology, and general office and kitchen supplies;

  • and coordinating, preparing, and pushing out electronic re-enrollment materials.

    Other

    Primary areas of responsibility include but are not limited to:

  • engage with students by chaperoning various events produced by the Student Life Office; pursuing professional development in the core competencies of the role;

  • coordinating and administering standardized admissions testing;

  • coordinating placement testing for admits to the Upper School in collaboration with the World Language and Math departments;

  • supporting the onboarding process for admits to the Upper School and Middle School;

  • stepping in to cover the school’s reception desk as able and according to a schedule to be set in coordination with Communications;

  • and other duties as assigned by the Director of Admissions & Financial Aid or the Head of School.

    Required Qualifications:

    The successful candidate will possess…

  • at minimum two years of paid professional experience;

  • excellent communication skills including in written and spoken English;

  • general proficiency in Google Workspace;

  • proficiency in Excel and/or Google Sheets, including the ability to produce graphs and tables, use spreadsheets efficiently, and perform calculations and automation to process large volumes of data;

  • proficiency in database management;

  • proficiency in quantitative and qualitative data collection, management, and analysis;

  • the ability to complete all physical requirements of the job with reasonable accommodations;

  • and successful completion of a LiveScan and FBI criminal background check as required by law.

    Desired Qualifications:

    The ideal candidate will possess…

  • proficiency in Microsoft Suite, Zoom, Asana, and Ravenna CMS and/or Finalsite CMS as well as a willingness and ability to learn other applications and new software as necessary;

  • and fluency in a language other than English, ideally Spanish or Mandarin Chinese.

    Working Conditions & Physical Requirements:

    This position…

  • will require extended periods of stationary positioning, ambulating (indoors and outdoors), working on a computer, and telephone usage; as well as occasional movement of objects weighing up to 40lbs.;

  • and requires occasional evening and weekend hours as well as local, intrastate, or national travel for approved professional development and meetings of regional professional organizations.

    Pay range:

    In the spirit of pay transparency we share the base salary range for this position for the 2024-2025 academic year. The full pay range, which encompasses all experience levels is $75,000 - $100,000. Within this broad range, we pay in accordance with what could be reasonably expected based on an individual's experience level. Base salary is exclusive of fringe benefits, retirement plan employer contributions or potential stipends (for eligible employees). Pay ranges at Menlo are reasonable estimates of what the School anticipates paying for a role but are not guaranteed. If hired at Menlo School, your final base salary will be determined by factors such as skills, education, experience, job level, part-time status and number of months of work per academic year. In addition to those factors, we believe in the importance of pay equity and consider internal equity with our current employees as a part of any final offer. Please keep in mind that the generous range mentioned above is the full base salary range for the role. Hiring at the maximum of the range is not typical for Menlo School in order to allow for future and continued salary growth.
