Ohio University Assistant Director, Conference & Event Services in Athens, Ohio

Job Description:

The Assistant Director has a direct impact to ensuring a safe and welcoming environment for the users of Conference and Events Services venues and is charged with delivering the highest level of customer service to internal and external stakeholders. This role supports conferences (over 85 last year), with emphasis on evening and weekend oversight, communication with internal and external stakeholders, and student employees. They will be able to provide general information to visitors and callers, effectively communicate with external stakeholders needs, and provide exceptional customer service to visitors and events. This individual must possess a high level of cultural competency to make sure all people’s identities and perspectives are welcomed in the Conference and Event Services office.

Primary Accountabilities:

  • Serve and support Conference Services, with emphasis on evening and weekend operational oversight, guest and client check-in’s and check-out’s, as well as wedding and external client event planning, contract drafts, oversight, financial estimated and invoicing. Ensure and support all aspects of a comprehensive communication plan with Conference Service stakeholders, both internal and external (external and internal clients, Ohio University alumni, Alumni Relations, Housing & Residence Life, Facilities, Custodial Services, Catering, Culinary Services, Athletics, Academic Colleges, Bobcat Student Orientation, parents, external vender’s, etc.).

  • Support, plan and implement all aspects of Conference Services, with special emphasis on Bobcat Student Orientation, weddings, and summer conferences. This will include strategies for effective event management for thousands of guests and future Ohio University students.

  • Support student employee recruitment, training, scheduling, and supervision. Conference Services has had to rely on student employees almost exclusively since the pandemic. Ensuring student employees have effective training and support is essential and this FTE is responsible for the success of student employee work.

  • Oversee and manage student employees to perform evening and weekend check-ins for major event spaces. Coordinate schedules with reservations staff to determine peak event hours and in major event spaces. Coordinate and oversee professional development opportunities for student staff related to diversity and inclusion and resume building.

Minimum Qualifications:

• Bachelor’s degree

• 2 years’ work related experience

• 1 year supervisory or managerial experience

Equivalent combination of education and experience may be considered.
