Job Description:

We are seeking a highly organized HR Administrative Assistant with at least five years of experience in an administrative role within a Human Resources function. The successful candidate will assist our small business staff in administering our HR programs, including hiring, onboarding, maintaining relevant files, and terminations. Additionally, the candidate will help maintain the calendar and assist with filing for the company president.

 

Responsibilities:

 

Administer HR programs such as hiring, onboarding, maintaining employee files, and handling terminations.

Maintain and update the following lists and programs:

Employee Phone / Anniversary Lists

Monthly Birthdays / Anniversaries on the TV in the drivers' room

CHOP Employee List Spreadsheet

Government Grant Tracking Spreadsheet

Updated active driver list for truck auto insurance policy with insurance broker

All medical certifications and DL updates (copy and file correctly, then send to TLC)

Driver MVR (motor vehicle) file maintenance - Under FMCSA regulations, an employer must request a pre-hire MVR in all states where a CDL license was held within the previous 3-year period, and then annually as part of the employee's annual review process.

Manage the company uniform program - Uniform orders and supply management (e.g., UNIFIRST, A&A SIGNS, HIVIS SUPPLY)

Assist in maintaining HR and employee records to be DOT compliant.

Coordinate annual updates to handle employee handbooks, yearly driver safety meetings, and distribute employee birthday and anniversary cards.

Perform past employment verifications daily.

Screen and process new applications and ensure approval through the company's Professional Employer Organization (PEO).

Conduct new hire orientations for Mustang & CHOP employees.

Maintain and update D&A Consortium Lists, employee medical insurance records, and voluntary insurance details.

Oversee workers' compensation claims and ensure proper handling.

Manage Hazmat Training and handbooks for new enrollments.

Administer PTO forms and vacation plotting by seniority.

Handle terminations and maintain a checklist for the process.

Support payroll processing and ensure PTO/sick time records are accurate and up-to-date.

Collaborate with the safety team to ensure driver safety protocols are met.

Assist in talent acquisition through platforms like Gotoro and Indeed.

Manage HR-related webinars and training sessions.

Qualifications:

 

Minimum of 5 years of experience in an administrative role within a Human Resources function.

Highly organized with excellent attention to detail.

Strong communication and interpersonal skills.

Proficiency in Microsoft Office Suite (Word, Excel, Outlook).

Ability to handle sensitive information confidentially.

Familiarity with HR software and online tools is a plus.
