ManTech Administrative Assistant / Records Manager in Arlington, Virginia

ManTech seeks an experienced and motivated Administrative Assistant / Records Manager to join our team at the Pentagon in Arlington, VA.

The successful candidate will provide on-site administrative support and coordination to a complex organization for a Task Lead and will perform a wide range of detailed analytical, procedural, and organizational tasks; and advise on services, processes and administrative functions of the organization’s programs/projects.

This role requires an active DoD TS/SCI security clearance.

General Responsibilities :

  • Provide all aspects of office administrative support functions. Provide staffing support to action officers for all required correspondence actions (e.g., formal letters, memoranda, read-ahead briefing/meeting packages, activity reports, senior leadership reports, and travel/training/personnel documents). Use Microsoft Office Suite and other application products, as required, to create, modify and manipulate spreadsheets, word documents, and presentations to support customer events and senior leadership.

  • Assist with the administrative duties for government staff personnel in a sensitive compartmented information facility (SCIF). Tasks include monitoring access to the SCIF, preparing and maintaining essential logistics and security requirements for the SCIF. In addition, provide security support for special access programs as required. Utilize knowledge of administrative management, automation equipment, and/or various software packages to input, retrieve, compile and manage information.

  • On a weekly basis provide office management support to include, but not limited to ordering supplies, preparing binder and read ahead, updating, monitoring and developing tracking tools for products, events and schedules; coordinates, plans and schedules office events.

  • Travel Support. On a weekly basis prepare and/or oversee travel arrangements for staff personnel and assist with developing travel reports and travel vouchers upon completion of travel using the Defense Travel System (DTS). Arrange for official local transportation, reimbursement for expenses incurred, and renewal of parking.

  • Records Management. On a daily basis ensure all office records are marked, filed, and retained in accordance with OSD and federal records disposition schedule, approved by the National Archives and Records Administration.

  • Support the planning, development and maintenance of a user-friendly, effective file system compliant with Department and Intelligence Community regulations. The file plan shall guarantee both intellectual and physical control over records in all formats and levels of classification.

  • Ensure proper disposition of all permanent and temporary paper records. Timely and appropriate destruction of records that have met their retention periods, and movements of long-term records to the National Archives and Records Administration will be accomplished. Support the development and implementation of an overarching records management plan for a consistent, complementary flow-down records management structure.

  • Conduct audits on internal records sets on a recurring basis, at least semi-annually. Advise on digitization aspects that can support organizational needs.

  • Complete the standard records management course provided by WHS.

  • Assist with general office functions, escort visitors, and support team events.

Minimum Requirements :

  • Bachelor's degree and four (4) years experience, Associates degree and six (6) years of related experience or ten (10)years experience w/o degree.

  • Active TS/SCI clearance

  • Knowledge of DoD protocol and administrative functions, policies, procedures and regulations; former DoD or other military experience a plus.

  • Excellent verbal and written communication skills as well as facilitation and organizational skills are critical.

  • Highly proficient in Microsoft Office Suite (Outlook, Word, PowerPoint and Excel) to be able to effectively review and edit division correspondence for changes in spelling, grammar, punctuation, word usage and correct format style for the intended audience in accordance with USMC policy and procedures; calendar management, and task management.

  • Knowledge of Defense Travel System (DTS) a plus.

Physical Requirements :

  • Must be able to be in a stationary position more than 50% of the time

  • Must be able to communicate, converse, and exchange information with peers and senior personnel

  • Constantly operates a computer and other office productivity machinery, such as a computer

  • The person in this position frequently communicates with co-workers, management and customers, which may involve delivering presentations. Must be able to exchange accurate information in these situations

  • The person in this position needs to occasionally move about inside the office to access file cabinets, office machinery, etc.
