Koniag Professional Services (KPS)currently has an opening for an Administrative Assistant 3 (AA). This position will be in Arlington, VA and will support KPS and our government customers. This opportunity offers the chance to work with some of the best and brightest minds in the Department of Defense and US Industry to develop, implement, and transition Artificial Intelligence (AI) capability across the Department.

Koniag Professional Services is searching for an exceptionally talented Administrative Assistant to assist the Department of Defense Office of the Chief Digital and Artificial Intelligence (CDAO) with administrative support to the respective Leaders, Technical Experts, and Team Members. This will include primarily clerical and administrative functions, including but not limited to, scheduling meetings and engagements; maintaining calendars; arranging travel; planning, coordinating, and facilitating meetings and events; managing supplies and equipment; preparing correspondences, reports, and presentations; preparing, managing, and coordinating taskers; and assisting the client managing projects. This position requires a person with impeccable multitasking abilities, superior professional demeanor, and the ability to accomplish a wide variety of day-to-day responsibilities that ensure program success.

Responsibilities:

  • Provides comprehensive administrative support services for daily operations.

  • Performs clerical functions such as scheduling meetings and engagements; maintaining calendars; arranging travel; planning, coordinating, and facilitating meetings and events; managing supplies and equipment; preparing correspondences, reports, and presentations; preparing, managing, and coordinating taskers; and assisting the client managing projects.

  • Support engagements by making travel arrangements for foreign and domestic travel as well as arranging for local travel via government vehicles and for parking at local DoD Facilities.

  • Support the mission initiative team members in the preparation of deliverables, reports, briefings, and related products associated with the respective mission area.

  • Coordinates and communicates on behalf of the Clients, including calls, responding to email and interfacing, with stakeholders or their staff at all levels.

  • Taking notes in meeting and assisting with presentations

Requirements

  • Current/Active Top Secret security clearance with active SCI eligibility is a requirement to apply for this position.

  • 8+ yrs. of relevant experience to include 3 years of experience directly supporting an organization’s front office with subordinate units that require coordination on administrative support.

  • Experience supporting a Senior Executive/ Flag Officer within the OSD or Directorate Front Office.

  • Demonstrate excellent communication skills, a high level of integrity, critical thinking, and leadership courage.

  • Experience preparing staff packages for the official DoD staffing and coordination process.

  • Ability to use CATMS or similar action tracking software to manage, update, and track staff actions across all levels of the organization.

  • Experience using and expertise with the Defense Travel System.

  • Experience using the Aircraft and Personnel Automated Clearance System to schedule/manage international travel.

  • Must be a self-starter that can recognize needs and act with little to no guidance.

  • Able to rapidly understand and apply new concepts.

  • Strong organizational and problem-solving skills with impeccable multi-tasking abilities.

  • Advanced MS Word skills; proficient PowerPoint, Excel, Outlook, MS Teams application skills.

  • Experience with Federal and DoD Records Management rules for file/records structure and retention for all levels of the organization.

  • Associate degree preferred but not required.

Working Environment & Conditions

This job operates in a professional office environment and has a noise level of mostly low to moderate. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

This position is primarily indoors, consistent with a standard office position and has a noise level of mostly low to moderate. The incumbent is required to stand, walk; sit; use hands to finger, handle, or feel objects, tools, or controls; reach with hands and arms; talk and hear. The workload may require the incumbent to sit for extended periods of time. The incumbent must be able to read, do simple math calculations and withstand moderate amounts of stress.

The incumbent must occasionally lift and/or move up to 25 lbs. Specific vision abilities required by the job include close vision, distance vision, color vision, depth perception, and the ability to adjust focus.
