Job Summary

Assist in the effective management of University Housing. Provide supervisory, management, and IT skills related to leasing, property management, policies and procedures, collections, lease contract disputes, loss claims, and tenant communications for designated properties. Serve as a liaison with other departments to facilitate program development and back-up support to Associate Director, Auxiliary Services.

Essential Duties and Responsibilities

Leasing, Marketing, and Contract Administration:

  • Maximize occupancy of university rental properties.

  • Oversee leasing process; update contracts, leases, and terms and conditions; develop and supervise maintenance of administrative systems related to leases, contracts, keys, and occupant and property records for designated properties.

  • Works closely with marketing staff to implement effective marketing strategies.

Information Systems Administration:

  • Works closely with the Assistant Director, IT for Auxiliary Services in the implementation and maintenance of appropriate information systems technology to provide effective and efficient operations.

  • Manage all aspects of the housing application process including applications, roommate matching, room selection, sign-up and renewal of current residents, leasing, and managing waitlists.

  • Innovates and leverages technology to achieve desired outcomes.

  • Develops custom reports.

  • Works closely with Apartment and Residence Life to achieve successful integration of applied technologies.

  • Trains others in the use of applied technologies.

Employee Supervision:

  • Recruit, select, train, supervise and evaluate assigned staff for designated properties.

  • Serve as Housing Liaison to Residence Life.

  • Direct activities and provide evaluation of Residence Life professional staff in functions related to housing operations.

Property Management and Development:

  • Serve as Housing Liaison to Facilities Management for designated properties.

  • Coordinate communication of tenant service programs related to extermination, filter service, property improvements, and life safety inspections.

  • Assist with implementing effective strategies related to property improvements, property take over, and closing of campus housing properties.

  • Assist in the purchase of goods and services.

Collections:

  • Work with Student Financial Services to collect past due rent.

  • Communicate with tenants regarding past due accounts.

  • Initiate necessary tenant evictions.

Policy and Procedure Administration:

  • Assist in the development and implementation of policies and procedures related to effective operations.

  • Interpret regulations and decide on questionable cases.

  • Recommend updates to departmental publications.

Tenant Communications and Concerns:

  • Inform tenants of issues affecting their community.

  • Draft and approve notices for distribution to tenants.

  • Interview tenants and respond to concerns and complaints.

  • Provides advisement and referral services for tenants.

Contract Disputes and Loss Claims :

  • Review appeals related to lease contract disputes; document claims for losses to personal property and injuries.

Department Representative:

  • Serve as a liaison with other agencies and departments to facilitate program development.

Other:

  • Other duties as assigned by the Associate Director, Auxiliary Services.

Minimum Qualifications

  • Master’s degree with three (3) years of professional experience in the management of university-owned student housing properties.

  • Three (3) years of professional experience in employee supervision and training.

  • Proficient in custom report writing and use of MS Excel and database or reservations systems.

  • Valid Class C Operator’s Driver’s License (or other states’ equivalent for driving a personal vehicle) or higher.

Preferred Qualifications

  • Proficient in the use of StarRez or similar comprehensive student housing management software system.

  • Advanced skills in custom report writing and MS Excel.

Knowledge, Skills and Abilities

  • Excellent communication skills.

  • Ability to complete all physical tasks as needed.
