Job Summary
Administrative Assistant for Health Services’ Immunization Clinic, as well as responsible for accounts payable, helping to staff appointment desk/reception office when needed as well as other administrative duties.
Essential Duties and Responsibilities
Responsible for all administrative duties of the Immunization Clinic including but not limited to answering phone calls and emails, making appointments, data entry, scanning and copying of documents, ordering of office supplies, and processing immunization records requests.
Assist immunization nurse and other staff with immunization outreach events including planning the event, overseeing event operations, ordering needed blood tests for patients, and removing student account holds and assisting with other post-event efforts.
Assist Operations Manager by processing the bursar report daily and processing all bills/requisitions for payment as they become available.
Work with UTA Procurement to ensure proper procedures are followed for large purchase
Assist Administrative Assistant II by working in the front office when there is a staffing need. This can include checking patients in at the front window, answering phones, scheduling appointments, and clerical duties.
Send weekly reports to primary care and gynecological services’ providers listing their patients who missed or canceled their appointments.
Assist with clinic schedule template formatting and schedule blocks in the EMR.
Perform other duties assigned.
Minimum Qualifications
High school diploma or GED and two (2) years of administrative job experience.
Basic computer skills with Outlook and Word.
Preferred Qualifications
Bachelor’s degree with at least one year of administrative job experience.
Experience in a Healthcare setting using an electronic medical record.
Knowledge, Skills and Abilities
- Computer skills, excellent communication skills, ability to multi-task, excellent organizational skills.
