Job is located in Reno, Nevada. Applicant will need to live in the surrounding area.
Employee will work 24 hours a week. Schedule can be discussed.
Travel may be required. Some evenings and weekends may be required.
Occasional work hours other than 8AM to 5PM may be required.

Job Summary
The Administrative Assistant I serves as a vital member of the Veteran Business Outreach Center (VBOC) to provide skilled and routine administrative support to the head of a department and/or the departmental senior administrator/staff in a non-academic area, including answering phones and routing calls, managing mail, maintaining files, maintaining a calendar and coordinating events, travel, parking, room reservations, procurement, etc. Maintains routine financial data, which includes monthly budget and status reports. Performs other general administrative duties, as assigned. Job is in Reno, Nevada Applicant will need to live in the surrounding area.
Essential Duties and Responsibilities
Maintains calendar of events and arranges schedules and meetings, including but not limited to:
In-person workshops, webinars, conferences, and short courses in collaboration with entrepreneur ecosystem partners and external stakeholders.
Handles travel arrangements, including travel authorizations, reservations, and final expense reporting.
Monitors expenditures and income against the approved budget.
Maintains accurate accounting ledgers and facilitates monthly reconciliation of accounts to assist in preparing reports on the status of the program, including program outcomes and deliverables, budget variances, or other compliance documents required for the program.
Assist in the creation and distribution of program materials, event flyers, forms, and general correspondence.
Publishes and maintains website, newsletter and other communication resources, including managing social media channels
Greets visitors and communicates with clients, employees, and other individuals to answer questions, disseminate and/or explain information, including acting as the unit liaison with other departments and with outside agencies and stakeholders, such as:
The U.S. Small Business Administration, Small Business Development Centers, Service Corps of Retired Executives, Apex Accelerators, local Economic Development Corporations, entrepreneurial resource partners, entrepreneurs and small business owners, vendors, suppliers, etc.
Orders supplies and arranges for repair of equipment.
Organizes and maintains records and filing systems in compliance with federal guidelines. and university policies and procedures.
May assist with check-in/check-out process for seminars, workshops and other outreach events.
Will have frequent communications with combat veterans, including Operation Enduring Freedom, Operation Iraqi Freedom, and Operation New Dawn (OEF/OIF/OND) with possible PTSD/TBI or other combat medical diagnosis.
Performs other duties, as assigned.
Minimum Qualifications
High School Diploma or equivalent.
Three (3) years of administrative assistant, front office/desk support, or equivalent relevant experience.
One (1) year of social media management.Two (2) years of budgeting and reconciliation experience.
Preferred Qualifications
Bachelor’s Degree or equivalent.
US military veteran or military spouse (Preferred OEF/OIF/OND).
UT System or UTA administrative experience with knowledge of UTShare.
Familiarity with or knowledge of the TAP Boots to Business Boots to Business Reboot programs.
Background in Financial Services, Banking, Accounting , or Social Services Case Management
Graphic design and marketing creativity.
Knowledge, Skills and Abilities
Knowledge of the use of personal computer, word processing, spreadsheet, and database software, presentation software, and office equipment.
Standard office machines.
Proficiency in the use of English, business math, reading and, writing skills.
Excellent customer service, interpersonal, organizational, written and verbal communication skills
Expert command of the English language; superior reading, writing and speaking skills.
Professional knowledge of business enterprises with an entrepreneurial mind-set.
Professional knowledge of office machines and equipment and personal computers.
Expert knowledge of Microsoft Office suite and Internet research methodologies.
Working knowledge of social media and digital marketing best practices, including Facebook, LinkedIn, Twitter, Instagram, etc.
Solid project management experience, including event planning and organizing.
Experience working with veterans and veteran service organizations (VSOs).

Working Conditions
May assist with check-in/check-out process for seminars, workshops and other outreach events. Will have frequent communications with combat veterans, including OEF/OIF/OND with possible PTSD/TBI or other combat medical diagnosis. Repetitive use of a keyboard at a workstation. Ability to sit or stand for extended periods of time. Ability to lift/carry up to 25 pounds.
