Robert Half Property Administrator in Aptos, California

Description

We are seeking a Property Administrator for the real estate and property industry located in Aptos, California. This role is vital in managing the operations of a community property, including rent collection, processing annual certifications, and maintaining relationships with local community groups. This role provides an opportunity for a short term contract employment.

Responsibilities:

• Supervise one or more Assistant Community Managers and Maintenance Technicians

• Maintain partnerships with local community groups including government officials, law enforcement, and fire safety professionals

• Collect rent and security deposits, make bank deposits, and verify resident income

• Ensure timely and accurate re-certifications, both interim and annual

• Manage delinquent accounts, resident receivables, and petty cash

• Assist in the completion of monthly variance budget reports, annual budget preparation, and monitor the fiscal status of the property

• Market units in accordance with approved marketing plan

• Obtain all required program certifications and ensure property and staff are in compliance with regulations

• Complete annual and interim re-certifications accurately and on schedule

• Assist with completion of reviews

• Maintain property files in accordance with regulatory guidelines and company policies and procedures

• Establish, execute, and monitor a preventative maintenance schedule for each property

• Conduct daily inspections to identify maintenance issues in need of correction

• Initiate maintenance work orders and monitor repair status

• Maintain curb appeal and achieve satisfactory performance

• Keep property in compliance with fire/safety codes, hazardous materials regulations, and OSHA

• Ensure emergency preparedness procedures are in place and communicate to residents in case of natural disaster or fire

• Participate in staff hiring decisions and conduct site operations for new employees

• Conduct performance reviews according to company policy and provide performance feedback monthly

• Complete required company-specific training within designated timeframe.

This role requires proficiency in various software and skills including Accounting Software Systems, JD Edwards EnterpriseOne, Microsoft Excel, Microsoft Office Suites, Microsoft Outlook, Accounting Functions, Accounts Payable (AP), Correspondence, Documentation, Insurance, and Yardi.

Requirements • Minimum of 1 year of experience in property administration or a related role within the real estate and property industry

• Proficiency in using accounting software systems for property management

• Proficient in JD Edwards EnterpriseOne software

• Advanced skills in Microsoft Excel, Microsoft Office Suites, and Microsoft Outlook

• Familiarity with accounting functions, including accounts payable (AP)

• Experience in handling correspondence and documentation for property administration

• Knowledge of insurance policies related to property management

• Proficiency in using Yardi property management software

• Excellent communication and interpersonal skills

• Ability to manage multiple tasks and deadlines

• Strong organizational and problem-solving skills

• High attention to detail and accuracy

• Ability to work independently and as part of a team
