Summary

The Division of Gastroenterology in the Department of Internal Medicine, home to over 100 faculty and more than $24M per year in research spending, is seeking to hire a Research Administrator Senior. The candidate will reconcile sponsored research projects, including clinical trials. He/she will review statements of activity and gross pay register statements to verify accuracy. He/she will review accounts and transactions to ensure appropriate fund, department, program, class, and account classifications are used. He/she will investigate discrepancies, irregularities, and unknown charges to ensure all accounts are in excellent shape He/she will prepare and present accurate and timely reports for project investigators. He/she will research accounting questions for faculty and staff. He/she will create and maintain account files, initiate and process forecasts, effort changes, award change requests, budget reallocations, journal entries, non-PO vouchers, and requisitions. Initiate and maintain subprojects and subcontracts, and manage cost share arrangements. He/she will create and maintain tracking spreadsheets to track revenue received on clinical trials by dissecting clinical trial contract protocols, and budgets, ensuring the accuracy of all patient-related and other charges on clinical trials. He/she will be expected to avail themselves of training and education opportunities within the Department, School, and broader UM community.

He/she will be responsible for providing post-award services to faculty and trainees within the Division, in collaboration with the Research Administrator Lead and pre-award team. The GI Division operates a large and diverse research program, consisting of approximately $24 million of extramural funding each year, of which approximately $15 million is funded by the National Institutes of Health. He/she will report to the Research Administrator Lead.

Responsibilities*

  • Advises faculty on long-term financial viability multiple grants and contracts from various sources with differing project end dates

  • Compiles statistical, financial, accounting, or auditing reports and tables pertaining to such matters as journal entries, vouchers, and standard transactions such as expenditures for materials, equipment, support staff, and travel

  • Provides analysis of clinical trials, VA MOUs, and other special projects.

  • Assists divisional leadership in analyzing and monitoring accounting and budget activity

  • Contribute with compliance in financial policies and procedures by resolving mid-size compliance-related issues and reporting larger issues to management

  • Analyze, compare, and evaluate various courses of action in coordination with PIs for sponsored projects.

  • Assist faculty in preparation of award change requests, budget reallocations, and other UM-required or sponsor-required reports as directed.

  • Prepare and monitor subcontracts.

Required Qualifications*

  • Bachelor degree and 5 - 7 years of progressive grant and contract experience or equivalent combination of education and experience

  • Exceptional organizational, written, and verbal communication skills.

  • Software proficiency, including Microsoft Office and Adobe Acrobat.

  • Strong skills in both team-based collaboration and individual work.

Desired Qualifications*

  • Working knowledge of eResearch, M-Pathways, and other internal UM platforms.

  • Familiarity with multiple sponsor funding guidelines and UM policies and procedures.

  • Demonstrated experience in supporting faculty with research portfolios.

  • Familiarity with large NIH award mechanisms (P30, T32, P01, U54, etc.).

  • CRA desired, but not required

This position is a remote work opportunity. Remote work arrangements are reviewed annually and are subject to change dependent on the needs of the Division.
